Administrative Executive Coordinator (aHEO) - Office of Diversity & Compliance **POSITION DETAILS** The Administrative Executive Assistant will report to the Chief Diversity Officer (CDO) in the Office of Diversity and Compliance. This position will focus on organization, scheduling, communications, and coordinating projects originating from the CDO's office. In addition to the CUNY Title Overview, the Administrative Executive Coordinator will: • Provide administrative support, draft correspondence including preparation and distribution of internal and external correspondence, detailed documents and reports. • Ensure confidentiality and sensitivity in all aspects of office operations. • Field complex, sensitive inquiries from students, faculty, and external agencies. Manage the CDO's executive phone line. Direct callers to the appropriate compliance officers or title initiatives with maximum discretion. • Coordinate and maintain the CDO's and the department's complex daily calendar, strategically prioritizing high-level institutional meetings, compliance deadlines, and urgent crisis interventions. Book conference rooms, send meeting/calendar invites and resolve scheduling conflicts quickly. • Assist in maintaining databases of grievances and investigations, filing systems and archives. • Assist in gathering and documenting confidential information and material for investigations and reports. • Assist with compiling and maintaining data pursuant to CUNY Policy and applicable legal authorities. • Work collaboratively with campus departments, executives, students and outside organizations to develop, plan and implement events and programs. • Attend and monitor events. • Provide assistance to the Office of Diversity and Compliance where directed. **QUALIFICATIONS** Bachelor's degree required. **Preferred Qualifications:** • Minimum 2-3 years of relevant administrative or executive support experience. • Competitive Candidates 3-5+ years, especially supporting senior leadership, compliance, HR, or diversity offices. • Exceptional organizational, interpersonal, analytical, listening, and verbal and written communication skills. • Demonstrates sound judgment, integrity, and a high level of attention to detail, with the ability to handle sensitive information and maintain strict confidentiality. • Proven ability to thrive in fast-paced environments while managing multiple priorities and projects simultaneously. • Maintains a professional, positive, flexible, and adaptable attitude in dynamic and evolving situations. • Proficient in Microsoft Office and Google Docs/Sheets, with a strong aptitude for learning new systems and software quickly and confidently. **CUNY TITLE OVERVIEW** Provides administrative support to a Campus or University Executive. - Coordinates office operations such as meetings, communications, events, and reports. - Maintains extensive files and records for the unit. - Maintains accurate calendars, schedules, and key dates. - Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data. - Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials. - Provides clear communications on the Executive's behalf both within and outside the unit. - May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness. Salary commensurate with education and experience. CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
