Job description

Our Material Handling group is seeking a full-time Service Dispatcher. This position is first shift, Monday to Friday. The primary responsibilities of the position consist of, but are not limited to:ย 

  • Dispatch Technicians to handle service requests and preventive maintenance (PM)ย 
  • Take, record and prioritize customer calls for service requestsย 
  • Compile and complete customer summary invoicingย 
  • Organize and file paperwork for the departmentย 
  • Maintain Technician time logย 
  • Answering internal and customer service callsย 
  • Weekly payroll time card entryย 
  • Opening and closing work orders, including accurately recording story lines into each orderย 
  • Invoicing & accounts receivables assistanceย 
  • PM running & monitoring throughout the monthย 
  • PM tracking reports & audit completed work for weekly meetingย 
  • PM scheduling for techniciansย 
  • Work in process (WIP) assistance to dispatch proper technician (closest technician with correct skill set) to our customersย 
  • Fleet service call monitoring & assignmentย 
  • Fleetmatics monitoring to ensure technicians are on time at field accountsย 
  • Responsible for various reports (PM's completed, overtime, non-productive clocking, first start tracking, tracker audits)ย 
  • Assist Technicians with finding technical dataย 
  • Incorporate Alta's Guiding Principles into daily activitiesย 
  • Performs other duties as assignedย 

Desired Skills and Qualifications:ย 

  • Previous dispatching, warranty administrative or mechanic experience is highly preferredย 
  • A strong technical knowledge base is desired to answer technician questionsย 
  • Must have strong computer skills and working knowledge of Microsoft Word, Excel and Outlook. Previous ERP experience is a plus.ย 
  • Possess excellent verbal and written communication skillsย 
  • Excellent time management skills and the ability to communicate with all levels of coworkers, as well as customersย 
  • Language Skills - Intermediate: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.ย 
  • Mathematical Skills - Basic: Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.ย 
  • Reasoning Ability - Basic: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.ย 

Physical Demands/Work Environment:ย 

  • Physical/Sensory Functions: Regularly will use sit, use hands, talk/hear; Frequently will reach with hands; Occasionally will stand, walk, climb or balance, stoop, kneel, crouch or crawl, taste/smell.ย 
  • Vision: No special vision requirements.ย 
  • Lift and/or Move Functions: Regularly will lift up to 10 pounds; Frequently will lift up to 25 pounds; Occasionally will lift up to 50 poundsย
