Job description
SUMMARY
The Property Operations Assistant Director is responsible for directing and overseeing the functionality and safety of the facility to protect the well-being of all guests and team members in the hotel's continuing effort to deliver outstanding guest service and financial profitability. This individual will maintain the entire hotel facility, including all physical, mechanical and electrical structures, HVAC systems and related equipment in accordance with energy conservation and preventative maintenance programs; ensure the upkeep of the guest areas to maintain an attractive hotel; manage all rehabilitation, expansion and special projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Primary duties and responsibilities include, but are not limited to, the following:
• Oversee the functionality and safety of the facility including physical buildings, mechanical equipment, electrical systems, heating and cooling systems, life safety systems and grounds according to federal, state and local regulations.
• Assign, verify, and document completion of all routine maintenance and repairs in the property maintenance management system.
• Oversee and maintain required documentation for energy management and conservation and preventive maintenance programs.
• Conduct facility inspections.
• Lead, manage, and communicate information about capital projects and property rehabilitations including scheduling, budgeting, and complying with contractor bidding standards.
• Directs daily department operations including guest service standards and initiatives, product quality, inventory management and cost controls, systems use and management, budgeting and forecasting, adherence to federal, state and local standards and meeting participation and facilitation
• Complete monthly and annual budgeting for the department.
• Provide direct supervision of all ongoing jobs and daily engineering activity.
• Keep appropriate staffing levels according to business needs.
• Control the application of direct/indirect maintenance costs, budgets, department and unit costs. Approve all purchase requisitions for time and material expenditure and projects. Review the status of projects to make certain costs stay within the budgeted limit. Adhere to all corporate purchasing policies and controls.
• Ensure the retention of all reports, contracts, log books, energy data, pertinent records, etc. that are generated by the department.
• Supervise the preparation of projects and related duties such as estimates, drawings, designs, scheduling, and bills for materials. Cost summaries, equipment and material specifications, etc.
• Assign and verify all routine maintenance in hotel. Conduct walk-throughs to visually assess the safe and efficient maintenance and operation of the physical structure(s) of the hotel, all mechanical, electrical, HVAC systems, and other related equipment.
• Review, produce, and distribute correspondence to communicate pertinent information to guests and team members. Answer all correspondence in a timely manner.
• Prepare and present reports for forecasts, budgets and energy consumption for meetings as needed.
• Interview, hire, coach, train, assign work and monitor team members.
• Keep leadership aware, on a regular basis, regarding the overall condition of building structure(s), related systems and equipment. Offer prudent cost effective proposals for maintaining same.
• Maintain effective energy management and preventive maintenance programs. Conduct and promote special training for other departments on the safe and efficient usage of hotel equipment and energy.
• Respond to accident scenes, emergency calls (fire, smoke, etc.). Act as a maintenance representative for the Property Operations department.
• Ensure that all safety procedures are followed including lock-out-tag-out procedures, hot work permits, fire watch, etc.
• Understand and apply all building, fire and health department codes.
• Any other duties as assigned within the scope of this position.
KNOWLEDGE/SKILLS/ABILITIES
• Effectively communicate with coworkers, members of the department leadership, and other departments.
• Ability to interpret and follow through on a variety of instructions furnished in written, oral, diagram, or schedule form.
• Excellent time management and organizational skills.
• Ability of complex reading, writing, math, and task completion skills is required.
• Must have the following skills: clerical, compiling, coordination, analyzing, supervising, instructing, driving, precision working, following instructions, influencing others, memorization, problem solving, independent judgment, and decision making.
• Flexible to work all shifts including holidays, nights, and weekend hours as business needs dictate.
• Must be a minimum of 21 years of age.
EDUCATION and/or EXPERIENCE
• Must have 6 years’ experience in large property facilities supervisory experience or any combination of education, training, or experience that provides the required knowledge, skills, and abilities.
• Commercial building maintenance experience in hotel/casino/resort industry is preferred.
CERTIFICATES AND LICENSES
• Must be able to maintain valid driver’s license and meet GSR driving requirements.
• Must be able to maintain appropriate Alcohol Awareness card.
PHYSICAL DEMANDS
• While performing the duties of this job, the team member is constantly standing, walking, frequently sitting, and occasionally reaching overhead, bending over, crouching, kneeling, crawling, climbing, and balancing during the duration of their shift.
• Must be able to frequently lift/carry and push/pull up to 50lbs or less. Team member must be able to occasionally lift/carry up to 100lbs or less.
• Dependent on the shift the team member will be occasionally driving.
• The team member will occasionally have repetitive use of both feet, frequently have repetitive use of both hands and require frequent light and firm/strong grasping motions. Finger dexterity of both hands will be constantly required.
• Constant use of vision abilities is required including distance, depth perception, field of vision, and color vision.
• The physical demands described here are representative of those that must be met by a Team Member to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
WORK ENVIRONMENT
• Work performed indoors and outdoors, alone and frequently with and around others. Team Member will perform work face-to-face including verbal contact with others on extended shifts around computer equipment, mechanical devices, flame/heat generated devices, and other electrical devices.
• Team member may have to work in confined areas, extreme heat, extreme cold, wet and/or humid conditions as well as around solvents/oils, dirt/dust, moving objects, high places, and slippery surfaces.
• The noise level in the work environment is usually moderate but may be loud at times and possible exposure to vibrations.
• Team Member may be exposed to fumes/odor and/or secondhand smoke.
• Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
