Job description

OneroRx is hiring a Director of Facilities to lead and oversee facilities operations across our midwestern portfolio of 90+ locations. Based at our corporate headquarters with travel to sites, you'll own the full facilities lifecycle — lease administration and real estate strategy, fleet management, repairs and preventive maintenance, capital planning, vendor consolidation, and regulatory/life-safety compliance.

This is a high-visibility, high-ownership leadership role: you'll partner directly with Finance and Operations leadership to control costs while ensuring every location is safe, functional, and well-maintained.

The role reports to the Chief Financial Officer and carries broad authority over strategy, budget, and vendor relationships across the entire portfolio. Success looks like a well-run, cost-efficient, compliant national footprint, a consolidated and accountable vendor base, and facilities leadership that Operations and Finance trust to get it right.

Key Responsibilities:

Lease and real estate administration. Own the lease portfolio end to end — tracking key dates (renewals, options, escalations, expirations) and leading renewal, renegotiation, and termination strategy. Partner with leadership on new site selection, lease negotiations, amendments, and disposals. Maintain a centralized lease abstract system, ensure accurate CAM reconciliation and rent/expense audits, and forecast real estate costs to identify portfolio optimization opportunities.

Fleet management. Own full-scale management of the corporate auto fleet, including vehicle acquisition, assignment, registration/titling, maintenance scheduling, and end-of-life disposal or resale. Negotiate and manage fleet vendor relationships — leasing/financing, fuel and maintenance programs, and insurance — to control total cost of ownership. Ensure fleet compliance with licensing, inspection, safety, and regulatory requirements across all jurisdictions, and monitor utilization, driver safety, and telematics/GPS data to improve accountability and reduce risk.

Repairs and maintenance. Establish and oversee preventive maintenance programs across all sites, covering HVAC, electrical, plumbing, life-safety systems, and building envelope. Set response-time and quality standards for reactive repairs, and monitor work order systems and close-out rates. Ensure compliance with building codes, fire/life-safety codes, ADA, and environmental regulations at every location.

Vendor management and consolidation. Lead national vendor strategy — sourcing, RFPs, and consolidation of service providers (janitorial, landscaping, HVAC, security, waste, and more) to drive cost savings and consistency. Negotiate and manage master service agreements, SLAs, and pricing, holding vendors accountable to performance metrics. Build a vendor scorecard/KPI process, conduct regular business reviews with key suppliers, and evaluate and implement a CMMS/facilities management platform to centralize vendor, asset, and work-order data.

Budget and financial management. Own the facilities operating and capital budgets, delivering against cost-per-square-foot and cost-per-site targets. Analyze spend trends, identify variances, and present financial performance to executive leadership. Drive cost-savings initiatives through vendor consolidation, energy management, and process standardization.

Team leadership and cross-functional partnership. Standardize policies, procedures, and reporting across all sites to ensure consistent service levels. Partner with HR, Operations, IT, and other leaders on space planning, office moves/build-outs, and workplace experience. Serve as the escalation point for critical facilities issues, emergencies, and business-continuity events.

Required Qualifications

  • Education. Bachelor's degree in Facilities Management, Business, Engineering, Real Estate, or a related field (equivalent experience considered).
  • Experience. 5+ years of progressive facilities/property management experience, including 5+ years managing a multi-site portfolio.
  • Real estate expertise. Demonstrated experience negotiating commercial leases and managing landlord/tenant relationships.
  • Vendor negotiation. Proven track record of vendor consolidation and contract negotiation that delivered measurable cost savings.
  • Financial acumen. Strong budget ownership and capital planning experience.
  • Systems proficiency. Experience with CMMS/IWMS platforms (e.g., ServiceChannel, FMX, Planon, or similar) and lease administration software.
  • Regulatory knowledge. Working knowledge of building codes, life-safety systems, and OSHA/ADA compliance requirements.
  • Travel. Willingness to travel regularly (typically 25–40%) across the portfolio.

Preferred Qualifications

  • Certification. CFM (Certified Facility Manager) or FMP designation from IFMA, or equivalent.
  • Industry background. Experience in a corporate, retail, healthcare, or multi-site commercial environment.
  • Team leadership. Prior experience leading a team of regional managers or a distributed workforce.
  • Sustainability. Familiarity with sustainability/ESG initiatives and energy management programs.
