Description:

Jackola Engineering and Architecture in Bozeman, Montana is seeking a talented Studio Administrator to join our dynamic team. In this role you will support government project delivery and studio operations in a wide variety of responsibilities to ensure alignment with the firmโ€™s business goals.

This role requires an organized and detail-oriented individual with an understanding of the A/E industry, and the ability to manage multiple tasks simultaneously. The ideal candidate will have experience working in a federal government A/E project deadline-driven environment, collaborating with technical teams, and effectively communicating with Project Managers within our clientsโ€™ and internal teams.


Key Responsibilities

  • Assists Project Managers with project setup, contracts, scope, budgets, schedules, invoices, and closeout activities as directed.
  • Maintains and monitors project schedules, milestone commitments, and delegated budget tracking.
  • Assist the marketing team with proposal development process, including assembly, editing, and coordinating responses to RFQs/RFPs.
  • Serves as a day-to-day administrative contact for clients and government partners to ensure clear communication and responsiveness.
  • Compile, format, and organize project documentation for internal use and client delivery.
Requirements:
  • Bachelorโ€™s degree or equivalent experience preferred.
  • Strong written and verbal communication skills; responsive, professional, and decisive.
  • Strong judgment, attention to detail, and emotional intelligence.
  • Ability to handle sensitive project and client information with discretion and professionalism.
  • Demonstrated proficiency in the Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with Adobe InDesign and/or illustrator is preferred.
  • Demonstrated knowledge of construction practices and/or experience working with state and federal government agencies is preferred.
  • Ability to work within project management and document control systems commonly used in A/E and federal project environments.
