Job description

Bear Event Design is a creative event design and décor firm serving events across Denver and the Rocky Mountain region. As we continue to grow, we are investing in our financial infrastructure to better understand our business, improve decision-making, and support long-term scalability.
We are seeking a highly organized, detail-driven, and proactive Accounting Operations Administrator to own the day-to-day financial operations of the business while helping us build a more sophisticated and insightful financial engine. This role is both executional and strategic, responsible for maintaining clean, accurate books while also developing reporting, job costing, and financial systems that help us operate smarter.
This role reports directly to the owners and plays a critical part in shaping how we understand performance across the company.
Your responsibilities:
  • Own all core accounting functions including bookkeeping, accounts payable, accounts receivable, payroll, and monthly reconciliations to ensure accuracy and consistency across all financial data
  • Manage and improve the monthly close process, ensuring books are completed quickly, accurately, and with strong supporting documentation
  • Maintain and audit financial systems including QuickBooks, Ramp, and payroll platforms, ensuring compliance, proper coding, and clean financial records
  • Oversee accounts receivable processes including payment tracking, client communication, and resolving discrepancies in partnership with the sales team
  • Manage accounts payable workflows including vendor setup, invoice processing, and internal communication to ensure timely and accurate payments
  • Own payroll processing and support HR-related financial operations including onboarding/offboarding, benefits administration, contractor payments, and required documentation
  • Lead the implementation and ongoing management of job costing systems, ensuring accurate data collection across departments and building processes where gaps exist
  • Develop and maintain monthly reporting, dashboards, and financial summaries that provide clear visibility into company performance, costs, and profitability
  • Conduct quarterly business reviews with leadership, analyzing departmental performance, identifying trends, and providing actionable insights
  • Continuously evaluate and improve financial workflows, systems, and tools (e.g. QuickBooks, Ramp, Rippling), identifying opportunities for automation, efficiency, and better visibility
  • Act as a central hub between departments to ensure financial data is complete, accurate, and aligned with how the business operates
  • Support ongoing financial hygiene by enforcing guidelines, auditing transactions, and improving internal accountability around spending and documentation

Requirements:
  • 4–7+ years of experience in accounting, finance, or a similar role with hands-on responsibility across bookkeeping, AP/AR, and reconciliations
  • Strong experience with QuickBooks Online (or similar accounting software) and financial systems management
  • Experience managing payroll and supporting HR-related financial processes
  • Demonstrated experience building or managing reporting, dashboards, or financial analysis for a business
  • Experience with or strong understanding of job costing, project-based accounting, or cost tracking systems
  • Comfortable working with multiple systems and tools (e.g. expense management, payroll platforms, CRM/project systems)
  • Strong Excel skills for analysis and reporting
