Job description

Administrative Business Support Specialist

The Administrative Business Support Specialist provides comprehensive administrative and operational support across multiple levels of management and external business partners. This role is responsible for coordinating complex administrative functions, enabling efficient team operations, and managing critical business activities including scheduling, financial tracking, and event execution. The position serves as a central point of contact for the department and contributes to process efficiency, organizational effectiveness, and team productivity.

Key Responsibilities

  • Coordinate and manage calendars, including scheduling meetings across multiple stakeholders
  • Plan and execute end to end event coordination and logistics
  • Support team operations including headcount tracking, recruitment coordination, onboarding, and offboarding
  • Manage procurement of goods and services including hardware, office supplies, and vendor relationships
  • Process and track business expenses, purchase requests, and administrative budgets
  • Provide project ownership for assigned initiatives, ensuring timely delivery and execution
  • Maintain and manage department financial operations including budget tracking and reporting
  • Support facility and office operations to ensure a smooth working environment
  • Serve as a primary administrative contact for internal and external stakeholders
  • Deliver general office support and contribute to special projects as assigned
