ROLE OVERVIEW and PURPOSE

The Patient Services Representative for the Mobile Dental Services Program (PSR-MDS) works to support the mission and vision of Neighborhood Healthcare by providing patient service and administrative support for the Mobile Dental Services (MDS) Program. The MDS PSR’s primary responsibilities include managing incoming communications, scheduling and rescheduling patient appointments, and supporting coordination of services across clinics in both mobile and community-based settings.

RESPONSIBILITIES

Direct Patient Care

  • Assesses incoming phone calls to determine the correct course of action based on caller’s information and needs
  • Corresponds with patients and visitors in an accurate, expeditious, courteous, and competent manner via in-person, telephone, and/or mail
  • Conducts appointment reminder calls to all patients; including noted documents required for their visit
  • Impacts patient experience by demonstrating courteous and helpful behavior and a commitment to accuracy
  • Assists in coordinating scheduling and logistics with schools, community partners, and internal teams for mobile dental visits
  • Acts as a liaison between dental team and schools and partner staff to support smooth service delivery

Provider and Team Support

  • Supports mobile dental team operations in both office and mobile settings
  • Generates daily lists of scheduled appointments for the mobile program
  • Communicates schedule updates, arrival, and changes with mobile team and partner sites as needed
  • Shares accountability for overall patient health outcomes by working in coordination with care teams
  • Operates to instill confidence in our care and facilities to patients, fellow employees, and other stakeholders

Clinical Administration

  • Schedules appointments and enters all required data into electronic scheduler
  • Tracks and records filled and cancelled appointments
  • Prepare patient charts prior to their appointments
  • Conducts reminder calls
  • Receives and records patient payments in computers and ledger for services received
  • Verifies patient records are up to date and accurate; makes appropriate changes in computer system, as needed
  • Completes ongoing/annual training for position compliance

EDUCATION/EXPERIENCE

  • High school diploma/GED required
  • Valid CA Driver’s License required and maintained as a condition of employment
  • Proof of valid auto insurance is required
  • One year of customer service experience required; in a healthcare setting preferred
  • Experience working with electronic medical records and multi-phone lines preferred
  • Bilingual (English/Spanish) highly preferred

ADDITIONAL QUALIFICATIONS (Knowledge, Skills and Abilities)

  • Excellent verbal and written communication skills, including superior composition, typing and proofreading skills
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
  • Knowledgeable about and experience with customer service etiquette and protocols
  • Ability to interact effectively with clinic personnel, patients, and diverse populations
  • Ability to successfully manage multiple tasks simultaneously
  • Excellent planning and organizational ability
  • Ability to use computer programs, such as spreadsheets and databases
  • Ability to work as part of a team as well as independently
  • Ability to work with highly confidential information in a professional and ethical manner
  • Ability to adapt to both clinic and mobile work environments

Physical Requirements

  • Ability to lift/carry 20 lbs/weight
  • Ability to stand for long periods of time
  • Serve as a backup driver for the mobile dental unit, as needed
  • Demonstrates willingness to learn to safely operate a 33-foot mobile dental unit
  • Assists with mobile unit setup, breakdown, and operational readiness
  • Willingness to travel locally to support mobile operations and school sites
  • Demonstrates schedule flexibility, including availability for early mornings, extended days, and outreach events

COMPLIANCE (Safety & HIPAA)

  • Follow all safety procedures as outlined in Neighborhood Healthcare’s Illness and Injury Prevention Plan (IIPP) and report any injuries and/or unsafe conditions immediately
  • Maintain current knowledge of policies and procedures as they relate to safe work practices
  • Follow all safety procedures and report unsafe conditions
  • Use appropriate body mechanics to ensure an injury free environment
  • Be familiar with location of nearest fire extinguisher and emergency exits
  • Follow all infection control procedures including blood-borne pathogen protocols
  • Maintain privacy of all patients, employee and volunteer information and access such information only on a need-to-know basis for business purposes
  • Comply with all regulations regarding corporate integrity and security obligations
  • Report all behavior and/or activity that are unethical, fraudulent, or unlawful

Neighborhood Healthcare offers a generous benefit plan that includes: Partially company paid Medical, Dental, and Vision Plans. Pay range: $22.88 to $32.08 annually, depending on experience and additional qualifications.

The posted salary range reflects the designated pay grade for this position. While this range represents the broader classification of the role, actual compensation will be based on several factors, including but not limited to: the candidate’s overall knowledge, skills, and experience, market data and industry benchmarks, internal equity within the organization, Budgetary considerations and organizational needs.
