Job description

Commercial Lines Account Administrator

ThompsonBaker Agency is seeking a dependable, detail-oriented Commercial Lines Account Administrator to support our Commercial Lines department and provide receptionist backup for the agency.

This position works with Commercial Lines Account Managers and Producers to keep daily processing, documentation, and follow-up organized and moving forward. The ideal candidate is professional, accurate, comfortable managing multiple priorities, and interested in building a long-term career in Commercial Lines insurance.

Primary Responsibilities

Process certificates of insurance and evidence of insurance.

Assist with policy binding and related documentation.

Prepare and distribute binders, invoices, finance agreements, applications, policy documents, and other client materials.

Order motor vehicle reports, loss runs, inspections, and other required information.

Assist with endorsements, policy changes, cancellations, audits, renewals, and account maintenance.

Follow up on missing documents, signatures, payments, underwriting requirements, and open items.

Maintain accurate notes, activities, and electronic files in Applied Epic.

Communicate professionally with clients, carriers, certificate holders, vendors, and internal team members.

Provide receptionist and front-desk backup, including answering phones, greeting visitors, routing calls, and assisting with general inquiries.

Assist with mail, scanning, document handling, account cleanup, reporting, and Commercial Lines special projects.

Support all Commercial Lines Account Managers and Producers with administrative and workflow needs.

Follow agency procedures, E&O guidelines, carrier requirements, and applicable insurance standards.

Qualifications

Strong administrative, organizational, and follow-up skills.

Excellent attention to detail and accuracy.

Professional written and verbal communication skills.

Ability to manage multiple assignments, interruptions, and deadlines.

Professional phone presence and client-service mindset.

Ability to work independently while supporting multiple team members.

Functional computer skills, including Microsoft Outlook, Word, Excel, and internet-based systems.

Florida 2-20 or 4-40 insurance license.

Preferred Experience

Prior insurance agency or Commercial Lines experience.

Applied Epic experience.

Experience processing certificates, policy documents, endorsements, invoices, finance agreements, MVRs, loss runs, or related insurance transactions.

Receptionist or professional office experience.
