Job description

SUMMARY
The Archive and Technical Assistant is responsible for supporting the Tribe's digital records management program through the administration and maintenance of the Laserfiche Enterprise Content Management (ECM) system. This position assists with records retention, document imaging, Laserfiche Forms, and repository maintenance while providing administrative support to Administration and the front office as needed.
PRINCIPAL ACTIVITIES & RESPONSIBILITIES
  • Provides administrative support for records retention, document imaging, and digital document management processes.
  • Assists departments with scanning, indexing, organizing, and storing documents within the Laserfiche Repository.
  • Assists departments with developing document categories, metadata fields, and electronic filing structures for digital records.
  • Coordinates with departments to implement and maintain records retention schedules in accordance with Tribal policies and procedures.
  • Assists with the development, maintenance, and troubleshooting of Laserfiche Forms and related business processes.
  • Serves as backup support for Laserfiche Forms administration and workflow management.
  • Assists with creating and maintaining Laserfiche training materials and provides user support and training as needed.
  • Generates reports related to digital forms, records management activities, and system usage.
  • Maintains quality assurance documentation and monitors digital records processes for accuracy and compliance.
  • Coordinates with the Information Systems Department regarding Laserfiche licensing and system support.
  • Assists the Enrollment Department with maintaining Laserfiche Enrollment records.
  • Works collaboratively with departments to digitize historical and current Tribal Government records.
  • Maintains confidentiality, integrity, and security of records and information.
  • Provides administrative support to Administration and the front office as assigned.
  • Collaborates efficiently and effectively while consistently demonstrating professionalism and maintaining positive, respectful relationships with internal teams, external partners, and Tribal members.
  • Other duties as directed by management.

LEVEL OF AUTHORITY & RESTRICTIONS
  • This position requires working independently without overseeing others, with no authority in decision-making.

PHYSICAL & MENTAL DEMANDS
  • Must be able to sit for extended periods while utilizing a computer and other office equipment.
  • Must be able to walk, stand, bend, reach, and use hands and fingers to operate office equipment.
  • Vision abilities required by this job include close vision and the ability to adjust focus.
  • May be required to push, pull, lift, and/or carry up to 40 pounds.

WORKING CONDITIONS & ENVIRONMENT
  • Primarily performed in an office environment.
  • Will require working occasional nights and/or weekends.
  • Moderate noise level with frequent interruptions and distractions.
  • Must be willing and able to travel both locally and within the CTCLUSI service delivery area.
  • Hybrid remote work must maintain secure and in a professional work environment that complies with Tribal confidentiality and technology requirements.

Requirements
MINIMUM JOB REQUIREMENTS
  • Must be 18 years of age or older.
  • High School Diploma or equivalent.
  • Associate's degree in Information Management, Business Administration, Public Administration, or a related field.
  • Minimum of two (2) years of progressively responsible office, administrative, or records management experience.
  • Experience with document management, records retention, or electronic records management systems.
  • Experience with Laserfiche Enterprise Content Management (ECM), Laserfiche Forms, Workflow, or similar document management software preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
  • Experience and proficiency in the use of Microsoft products (Excel, Outlook, PowerPoint, Word, etc)
  • Ability to communicate clearly and effectively in English, verbally, in writing or by other acceptable means.
  • This position is considered a non-covered role per the CTCLUSI Background Investigations Policy. A state criminal background check and fingerprint-based background check will be required as a condition of employment.
  • This position is subject to pre-employment and other authorized drug and alcohol testing in accordance with company policy.
  • Must have employment eligibility in the U.S.
  • Indian preference will be observed in the hiring process.
