Finance Coordinator

Position Summary

The Finance Coordinator supports the day-to-day accounting and financial operations of MSCP Heat Management Solutions while working closely with the Finance Controller to ensure the accuracy, timeliness, and integrity of the Company's financial information.

This role provides broad exposure to accounting, payroll, financial reporting, budgeting, internal controls, and operational finance within a growing industrial organization. The Finance Coordinator plays an important role in maintaining efficient financial processes, supporting operational decision-making, and contributing to the overall effectiveness of the business.

At MSCP, the Finance Coordinator operates within a collaborative and systemic environment aligned with the Company's organizational methodology. Success in this role comes from supporting organizational flow, maintaining financial visibility, improving processes, and working closely with Operations, Supply Chain, Human Resources, Manufacturing, and Project Delivery.

This position is designed as a development opportunity for individuals seeking to grow their accounting and financial leadership capabilities. Through mentorship, increasing responsibility, and hands-on experience, successful candidates will have the opportunity to progress into the Finance Manager position as the organization continues to grow.

Roles & Responsibilities

Accounting & Financial Operations

  • Process vendor invoices, employee expense reports, and purchase transactions accurately and in a timely manner.

  • Prepare customer invoices and assist with accounts receivable collections and customer account maintenance.

  • Process customer payments and maintain accurate cash receipt records.

  • Complete daily, weekly, and monthly bank, credit card, and general ledger reconciliations.

  • Maintain accurate accounting records and supporting documentation within QuickBooks Online and other financial systems.

  • Assist with journal entries, accruals, and general ledger maintenance.

  • Support month-end and year-end close activities by preparing reconciliations and working papers.

  • Maintain fixed asset and prepaid expense schedules.

  • Assist with intercompany accounting transactions and reconciliations.

  • Ensure accounting information is complete, organized, and readily accessible within MSCP's digital operating environment.

Payroll & Employee Financial Administration

  • Assist with payroll preparation, timesheet verification, and payroll processing.

  • Review employee time records for completeness and accuracy.

  • Support payroll remittances, statutory deductions, and government reporting requirements.

  • Maintain payroll records and employee financial documentation.

  • Assist Human Resources with employee benefit deductions, RRSP administration, and payroll-related inquiries.

  • Support year-end payroll activities, including T4 preparation and reconciliations.

Financial Reporting & Analysis

  • Assist in preparing monthly financial reports and management reporting packages.

  • Support budgeting and forecasting activities by gathering financial information and updating schedules.

  • Prepare routine financial analyses and variance reports.

  • Monitor project costing information and assist with cost tracking.

  • Support cash flow reporting and working capital monitoring.

  • Compile financial data to support business planning and operational decision-making.

  • Assist leadership by providing timely financial information when requested.

Accounts Payable & Accounts Receivable

  • Maintain vendor files and customer account information.

  • Monitor accounts payable aging and payment schedules.

  • Follow up on outstanding customer invoices and assist with collections.

  • Reconcile vendor statements and resolve discrepancies.

  • Prepare electronic payments and cheque runs.

  • Process customer credit applications and assist with ongoing credit monitoring.

  • Support the Finance Manager with credit reviews and collection strategies.

Systems, Controls & Continuous Improvement

  • Follow established accounting procedures, internal controls, and company policies.

  • Identify opportunities to improve financial processes and administrative efficiency.

  • Assist in documenting accounting procedures and workflow improvements.

  • Support implementation of automation initiatives and digital financial systems.

  • Maintain organized electronic filing systems and financial documentation.

  • Participate in process improvement initiatives that increase organizational visibility and reduce administrative effort.

  • Assist with audit preparation and external information requests.

Cross-Functional Collaboration

  • Work closely with Operations, Project Management, Supply Chain, Human Resources, Manufacturing, and Leadership to support organizational objectives.

  • Assist with project setup, job costing, and financial tracking.

  • Provide financial information that supports operational decision-making.

  • Build positive working relationships across all departments.

  • Contribute to maintaining accurate operational and financial data throughout the organization.

Professional Development & Growth

  • Continuously develop accounting, financial, and business knowledge.

  • Learn budgeting, forecasting, financial planning, and leadership responsibilities under the guidance of the Finance Manager.

Qualifications & Experience

  • Diploma or degree in Accounting, Finance, Business Administration, or a related discipline.

  • Three (3) to five (5) years of accounting or bookkeeping experience preferred.

  • Experience with QuickBooks Online or comparable accounting software is considered an asset.

  • Working knowledge of accounts payable, accounts receivable, payroll, reconciliations, and general accounting principles.

  • Experience in manufacturing, construction, industrial services, or project-based organizations is considered an asset.

  • Intermediate proficiency with Microsoft Excel, Outlook, and Word.

  • Strong aptitude for learning financial systems and digital technologies.
