Administrative Specialist – Federal Client

SUMMARY

The Concourse Group is looking for an experienced Administrative Specialist to support a federal client. The ideal candidate will have experience with Federal Administrative policies, procedures, and systems. Candidates with experience providing administrative functions to DHS will be given a higher applicant rating.

This is a client-facing position and may require infrequent travel to the client site in the National Capital Region. The Administrative Specialist will be supporting client tasking as well as tasking in direct support of the contract Project Manager and Program Analyst. This position requires a high level of attention to detail, professionality and high-level verbal and written communications skills. This position also requires a high level of multi-tasking, time management skills and decision-making skills.

SKILLS AND ABILITIES

POSSIBLE TASKS

  1. Mange the tasking mailbox, logging, routing, and tracking incoming request through to resolution. 
  2. Maintain organized electronic records and files for deliverables, correspondence, and reports.
  3. Draft format and proofread correspondence, fact sheets, and briefing materials for leadership review. 
  4. Schedule and coordinate meetings, including calendar management and logistics for quarterly all hands events.
  5. Support compilation of status reports, dashboards, and data summaries for leadership review. 
  6. Assist with formatting and updating facility related information across spreadsheets, databases and presentations. 
  7. Support coordination of cross functional activities and track resulting action items to completion 
  8. Assist with distribution and upkeep of communication plan and internal announcements. 
  9. Provide a variety of formatting and editing support in MS Word, PowerPoint, Excel and Adobe.
  10. Provide administrative project support such as action tracking, development of regular status reports, updating of project related documentation, stakeholder point-of-contact information management and other project management support tasks.
  11. Complete all assigned tasks on time or ahead of schedule.
  12. Other administrative, clerical and customer service duties as assigned.

REQUIRED EDUCATION AND EXPERIENCE

  1. Must possess a high school diploma.
  2. Two years of administrative experience in a professional work environment either as a federal employee or a contractor.

PREFERRED EXPERIENCE

  1. Minimum of two years of administrative experience for a federal government employer, or as a federal contractor.
  2. Experience directly with DHS or an associated DHS office or agency.
