Essential Duties and Responsibilities include the following:
  • Support multiple project activities from initiation to completion.
  • Procurement activities: issuing purchase and change orders, tracking documentation, and receipt of orders for all components of construction projects.
  • Set up and maintain a detailed project tracking sheet to monitor and track progress for each project. Communicate with vendors to support Project Manager(s) with production and delivery timeframes for long-term items.
  • Utilize Procore for submittal and drawing management, including uploading and tracking of status of tasks.
  • Assist Project Manager(s) with materials takeoffs, vendor quote requests, bid comparisons and other preconstruction and project execution activities.
  • Compile and prepare Operation & Maintenance Manuals. Responsible for formatting, printing and shipping of documents and final O&M manuals at project end.
  • Work in a team environment with Project Manager(s) to ensure that all projects are delivered on time, within scope, and within budget.
  • Work closely with Project Manager(s), Construction Manager(s), and Field Supervisor(s) to ensure coordination of deliveries.
  • Escalate project risks, schedule concerns, or procurement challenges to project management as needed.
  • Foster Teamwork: Work cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance organizational effectiveness.

  • Excellent internal & external communication skills - both written and verbal.
  • Solid organizational skills including attention to detail and multi-tasking skills.
  • Strong working knowledge of Microsoft Office is required; Bluebeam experience is preferred.
  • Ability to work well independently as well as in a team environment.
  • Behave Ethically: Understand ethical behavior and business practices and ensure that your own behavior and the behavior of others are consistent with these standards and align with the values of the organization.
  • Communicate Effectively: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
  • Ability to work a hybrid schedule (3 days in the office required).

Education/Experience:
  • University degree preferred, or experience in Project Coordination in a similar industry.
  • Spanish speaking is strongly desired.
