Job description

Office Assistant

The Office Assistant is responsible for performing office duties that ensures the department/clinic runs smoothly. This includes scheduling appointments, checking in patients, answering the phone and performing clerical duties.

Monday - Friday day shift

Pay based on experience starting at $16.54

Responsibilities

  • Answers all incoming calls and forwards calls to the appropriate individuals or takes detailed messages as appropriate.
  • Completes patient check-in process by verifying that all patient information is current and accurate including collects co-pays, obtains financial and insurance information, copies insurance cards, assists patients with completion of forms, and gets consents signed.
  • Completes patient check-out process, taking and posting personal payments, entering charges on the charge ticket and totaling.
  • Greets patients and visitors and provides general assistance as needed.
  • Performs general clerical duties as needed including faxing, scanning, copying, emailing, preparing documents, filing, ordering office supplies, and managing electronic and paper records related to encounters.
  • Performs preauthorization or referral checks/follow-up.
  • Prepares the patient file for the clinical staff.
  • Reminds patients of upcoming appointments and preventive appointments and tests that are needed.
  • Schedules/reschedules appointments as necessary. Confirms availability/appointment time/date. Obtain brief medical history regarding doctor visit. Give patient instructions. Collect patient information.
