Job Title: Administrative Assistant II

Location: Mount Olive IL    

Employment Type: Full-time


Job Description:

The Administrative Assistant II will manage the daily operations of the Department of Chemistry and provide administrative, secretarial, and clerical support to the Department Chairperson. This role includes coordinating office activities, scheduling meetings, handling communication, maintaining supplies and equipment, and assisting with department-related reports and events. The Administrative Assistant will play a key role in supporting the department’s smooth operation and organizing various activities such as faculty meetings, graduation events, and travel arrangements.


Responsibilities:

  • Greet visitors and respond to inquiries or requests, advising the Chairperson on matters requiring attention.
  • Review, route, and prioritize incoming mail.
  • Schedule and organize faculty meetings, prepare agendas, and ensure that minutes are recorded and distributed.
  • Maintain inventory of office supplies and equipment, and place orders as necessary.
  • Assist with the preparation of departmental and ACS reports.
  • Ensure the office space and front desk remain clean and organized.
  • Process paperwork related to purchasing, including orders, requisitions, and invoices, and maintain monthly expense logs.
  • Coordinate and prepare travel for faculty.
  • Assist with events such as Open House, graduation, and orientation.
  • Maintain the department’s website.
  • Initiate faculty contracts as appropriate.
  • Perform additional administrative duties as assigned.

Qualifications:

  • Education: High School Diploma or GED required.
  • Experience: Minimum of three years of experience as an administrative assistant.
  • Preferred Skills: Experience with Microsoft-based software and cloud-based tools (Google Docs, Sheets, Drive, etc.), and Adobe.
