Job description

Part-Time Deputy City Clerk

This is a part-time hourly position. Maximum hours per week: 29.5.

Summary of Position:

The Part-Time Deputy City Clerk performs administrative, legislative, and clerical duties in support of the City's operations. This position is responsible for maintaining official city records, preparing agendas and minutes in the City Clerk's absence, and assisting with local elections. The City Clerk ensures compliance with local, state, and federal laws regarding records management, public meetings, and elections.

Essential Duties and Responsibilities:

The following duties are normal for this position. The omission of a specific statement from the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

  • Oversees public records requests and ensures compliance with records retention laws in JustFoia.
  • In the absence of the City Clerk, shall attend Mayor and Council Meetings and confirm recording of proceedings; make copies of agenda and transcribe meeting minutes.
  • Assists the City Clerk in arrangements for municipal elections including assisting with qualifying, uploading documents to Georgia Finance Commission,
  • Administers oaths of office and notarizes documents as required.
  • Assists in the preparation of public notices, and legal publications.
  • Provides customer service to residents and staff regarding City policies and procedures.
  • Assist with City related events.
  • Performs other administrative duties as assigned by the City Clerk.
Minimum Qualifications:
  • Must be eighteen (18) years of age or older.
  • High school diploma or equivalent required.
  • Knowledge of municipal government operations and open meetings laws.
  • Strong organizational and recordkeeping abilities.
  • Proficiency in Microsoft Office Suite and document management systems.
  • Exceptional written and verbal skills, including accurate use of grammar.
  • Must possess and maintain a valid Georgia driver's license.
  • Must be bondable.
Preferred Qualifications:
  • Experience working in local government, especially in a Clerk's office, is highly desirable.
  • Certification as a Municipal Clerk (CMC) or ability to attain one within three years of hire.
  • Associate's degree in public administration, political science, or related field.
