Dental Office Manager — Sears Dental Works (Jacksonville, FL)

Sears Dental Works is seeking an experienced Dental Office Manager to lead operations, strengthen systems, improve collections, and elevate patient experience in a growing, technology-forward dental practice.

This is not a passive administrative role. This position is responsible for driving performance.

Responsibilities

Lead daily front-office operations including scheduling strategy, insurance workflows, and patient communication

Manage insurance verification systems with accuracy and accountability

Oversee treatment acceptance coordination and financial arrangements

Track and improve collections, production efficiency, and schedule utilization

Supervise front desk team performance and accountability standards

Coordinate hygiene scheduling efficiency and doctor productivity alignment

Implement workflow improvements using Dentrix and automation tools

Monitor KPIs including:

Production vs collections ratio
Schedule fill rate
Treatment acceptance rate
Outstanding claims aging
Reactivation success

Maintain a polished, professional patient experience from first call through treatment completion

Serve as the communication bridge between doctor, assistants, hygienists, and administrative staff

Required Qualifications

Minimum 3 years dental front-office experience

Minimum 1 year dental office leadership or supervisory experience preferred

Strong working knowledge of dental insurance systems and claim workflows

Dentrix experience strongly preferred

Confidence presenting financial treatment plans to patients

Ability to manage multiple priorities without losing accuracy

Professional communication skills with both patients and team members

Preferred Experience

Experience managing PPO insurance workflows

Experience implementing scheduling efficiency systems

Experience supporting growth-focused dental practices
