Sales Administrator
Kalahari Resorts & Conventions is seeking a Sales Administrator. In this role, you will provide critical administrative and operational support to the Sales and Group Rooms teams while serving as a welcoming first point of contact for guests, clients, and visitors. You'll also play a key role in ensuring group reservations, room blocks, payments, and housing details are accurately managed, helping create a seamless experience for both clients and internal teams.
As part of our leadership team, you'll embody our Promise to Lead with Love by delivering exceptional service, building strong relationships, and supporting the behind-the-scenes processes that help groups and events succeed. Your attention to detail, hospitality mindset, and ability to balance guest interactions with administrative responsibilities will directly contribute to the overall guest experience.
Pay Rate - $20-$22/hr. This is an Hourly role.
Key Responsibilities
  • Serve as the first point of contact for guests, clients, and visitors entering the Sales Office, providing a warm, professional, and welcoming experience.
  • Assist guests and group contacts with inquiries regarding meeting locations, package shipments, lost and found items, and general resort information.
  • Provide administrative support to the Sales Team and Group Rooms Manager through accurate record keeping, correspondence, and account management.
  • Create, maintain, and update group room blocks within Passkey, Versa, and other hospitality systems while ensuring accuracy of all reservation details.
  • Process group deposits, payments, billing documentation, and related financial transactions in accordance with company policies and procedures.
  • Generate and distribute Passkey reservation links and group housing information to clients and group contacts in a timely manner.
  • Monitor room block activity, reservation pickup, and group housing information, communicating updates and potential concerns to appropriate team members.

What We're Looking For
  • 2+ years of experience in an administrative, sales support, reservations, or group housing environment.
  • At least a 1 year of experience working in a hotel, resort, convention center, or customer-facing environment.
  • Previous experience using Passkey, Versa, Delphi, or similar hospitality systems preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Exceptional guest service, communication, and interpersonal skills.
  • Ability to maintain accuracy and attention to detail while working in a fast-paced environment.
  • A warm, professional demeanor with a passion for creating positive guest experiences.
