Job description


Job Summary:
Responsible for auditing and approving lease-related expenses according to WAG procedures and policies. Ensures compliance with WAG policies and procedures and SOX-related compliance policies. Supports internal/external audits. Completes thorough and detailed audits and reviews of all lease related invoices and expenses to evaluate landlord compliance to applicable leases, the accuracy of financial information, and the effectiveness and efficiency of management controls. Responsible for special project analysis, landlord default resolution, and providing direction, guidance and training of Service Provider staff.
Job Responsibilities:
  • Approves disbursements for lease-related expenses, processed by Service Provider, such as rent, common area maintenance, insurance, utilities; verifies accuracy of payments and related supporting documentation before final approval. Analyzes escalated bill payments that the Service Provider cannot resolve. Verifies the accuracy of the bill/claim and works directly with Landlords and Property Managers to resolve issues. Responsible for reimbursements to, or collections from the customer. Updates databases to reflect actions.
  • Interprets lease language, abstracts leases and translates information to summarize payment obligations within lease database. Works with multiple departments including Real Estate, Real Estate Law, Construction, Facilities Maintenance, Tax, and Accounting to ensure the proper handling of Walgreens legal obligations under the terms of the lease contracts for various location types (i.e. Stores, District Offices, DTR Centers, Healthcare Facilities, and Corporate sites).
  • Audits the initial set up of all new leases completed by Service Provider, to appropriately account for all payment obligations included in the lease. Approves initial rent payments. Audits payments, credits, and escrow adjustments entered into the Lease System by Service Provider to remit accurate systematic monthly lease payments. Approves monthly fixed payments in Lease System.
  • Manages all updates to lease dates and general terms, including lease modifications, extensions, and terminations with Service Provider.
  • Audits monthly rent statements prepared by Service Provider and approves payments. Ensures all statements are handled and reported by the due date specified in the Lease.
  • Provides accurate and timely response to phone calls and e-mails received from: Landlords, Property Managers, Results, Real Estate Law, Real Estate, District Managers, Store Managers, or Business Unit.
  • Works on special projects and plays an integral part in improving systems, processes, and creating efficiencies to enhance the Real Estate management process for Company and Service Provider.

External Basic Qualifications
  • Bachelor's Degree and at least 1 year of experience in accounting, finance, business management or auditing or High School Diploma/GED and at least 4 years of experience in accounting, finance, business management or auditing.
  • Experience communicating both verbally (on phone, one-on-one, to groups) and in writing (emails, letters, reports, presentations) to various audiences (work group, team, company management, prospective acquisitions, external clients).
  • Experience with analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions.
  • Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.
  • Experience providing customer service to internal and external customers, including meeting quality standards for services, and evaluation of customer satisfaction.
  • Willing to travel up to 10% of the time for business purposes (within state and out of state).

Preferred Qualifications
  • Master's Degree in Accountancy or MBA.
  • Bachelor's Degree in Accounting, Finance or Business.
  • Bachelor's Degree and at least 3 year of experience in accounting, finance, business management or auditing or High School Diploma/GED and at least 6 years of experience in accounting, finance, business management or auditing.
  • At least 2 years of experience in lease administration.
  • Experience with commercial lease administration and/or real estate.
