Responsibilities
Inventory Processing & Control
  • Enter new and used vehicle inventory into the DMS accurately and timely
  • Receipt vehicles upon arrival and verify vehicle details (VIN, stock number, options, cost)
  • Post inventory adjustments, transfers, and write-downs as approved
  • Track in-transit, dealer trades, and incoming units
  • Maintain accurate vehicle cost records, including pack, recon, and add-ons

Reconciliation & Reporting
  • Reconcile vehicle inventory schedules to the general ledger
  • Monitor inventory aging and report discrepancies or variances
  • Assist with month-end inventory reconciliation and reporting
  • Prepare inventory reports for management as requested

Coordination & Documentation
  • Coordinate with sales, accounting, service, and title departments
  • Ensure inventory is properly assigned to deals and removed upon sale
  • Verify deal posting removes sold units correctly
  • Maintain organized inventory files and documentation

Compliance & Risk Management
  • Follow dealership inventory controls and approval processes
  • Ensure proper documentation for inventory adjustments and write-offs
  • Protect confidential financial and inventory information
  • Support audits, floorplan reconciliations, and manufacturer reviews

Process Improvement & Support
  • Identify inventory discrepancies and assist in resolution
  • Recommend process improvements to strengthen inventory accuracy and control
  • Assist with special projects and cross-training as needed

Qualifications
  • High school diploma or equivalent required
  • Prior dealership inventory, accounting, or administrative experience
  • Familiarity with dealership management systems (DMS) such as CDK or Reynolds & Reynolds preferred
  • Basic accounting or inventory management knowledge
