Job description

Job Title

General Definition of Work

Performs skilled administrative support work providing a variety of specialized office support and administrative tasks, managing varied and complex records and files, composing, laying out and preparing materials, reports, records, and related work as apparent or assigned. Work is performed under the general direction of the Administrative Support Assistant Police.

Essential Functions

Acts as receptionist; greets visitors; answers telephone; provides information; forward calls to appropriate personnel. Types a variety of documents including correspondence, forms, reports, purchase orders, requisitions, meeting minutes, etc. where a knowledge of format and presentation is necessary, files reports and documents. Enters a variety of data into computer system to include incidents, accidents, citations, warrants, traffic stops and pawn tickets; verifies statistical and other records for accuracy and completeness; verifies and reconciles input data; performs edits and updates, notarizes documents when needed. Responsible for correspondence with other law enforcement agencies and pawn shops regarding stolen items identified while conducting entry of pawn tickets. Receives, sorts, processes and distributes incoming and outgoing mail. Operates a variety of standard office equipment. Responsible for Division of Criminal Information (DCI) entries, modifications and clearing of records. Responsible for bringing in Electronic Citations from the officer's input into Brazo's into our Records Management System in our Citation Module. Acts as Assistant TAC (Terminal Agency Coordinator). Administers DCI Test for departmental personnel when needed. Periodically checks Hot File entries to make sure item or individual still warrants the entry; placing main focus on Wanted Person Entries due to the State AOC (Clerk's office) expunging records without notifying entering agency. Responsible for compiling data for departmental monthly reports and Officer's stat's- Monthly report given to City Clerk to be put in the agenda packet for the monthly City Council Meetings Assist officers with password changes in DCI and CJLEADS when needed. Assists with Departmental Christmas Dinner's, Retirement Dinner's and National Night Out functions and any fundraisers that the department may have during the year. May be required to work outside normal work hours in on-call and emergency situations. Any other duties as assigned by supervisor. Provides excellent customer service when working with citizens, elected officials, and/or associates. Supports the overall City organization by executing the directives as set forth by the immediate supervisor and elected officials.

Knowledge, Skills and Abilities

Thorough knowledge of standard office practices, procedures, equipment and program assistance techniques; thorough knowledge of business English, spelling and arithmetic; thorough knowledge of the organization and functions of the department and of general administrative policies and practices; ability to keep detailed and complex records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to type at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; ability to establish and maintain effective working relationships with associates, elected officials, vendors and the general public.

Education and Experience

High school diploma or GED and moderate administrative experience, or equivalent combination of education and experience.

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and reaching with hands and arms, frequently requires repetitive motions and occasionally requires standing, walking, climbing or balancing, stooping, kneeling, crouching or crawling, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

Possession of or ability to obtain Division of Criminal Information Terminal Operator certification within six months of employment. Possession of or ability to obtain Notary Public license within six months of employment. Valid driver's license in the State of North Carolina.
