  • Salary Range: $68,600 - $85,700

Your role

The Office & Payroll Administrator serves as the primary administrative resource for the PC Genesee facility, acting as the first point of contact for employees, customers, visitors, and external partners. This role is responsible for ensuring the efficient day-to-day operation of the office while administering accurate and timely weekly and biweekly payroll processes.

Office Administration
  • Serve as the first point of contact for all visitors, employees, vendors, and external customers.
  • Greet visitors and direct them to the appropriate personnel while ensuring a professional and welcoming environment.
  • Answer and route incoming telephone calls and provide general company information.
  • Manage incoming and outgoing mail, courier services, packages, and deliveries (FedEx, UPS, etc.).
  • Schedule and coordinate conference rooms and shared meeting spaces.
  • Maintain office, break room, and administrative supply inventories; place orders as needed.
  • Create, maintain, and organize office files, records, invoices, and other documentation.
  • Maintain employee, visitor, and contractor badge logs and issue identification badges for employees and visitors.
  • Assist with photocopying, scanning, filing, document preparation, and other administrative support.
  • Coordinate employee engagement activities, meetings, and special events.
  • Support internal communication initiatives and cross-functional administrative activities.
  • Provide administrative support to the General Manager, Human Resources Manager, Business Controller, and Operations Manager on various projects and initiatives.
Payroll Administration
  • Process accurate and timely weekly and biweekly payrolls for PC Genesee employees.
  • Review, audit, and reconcile employee time records from multiple departments prior to payroll processing.
  • Research and resolve payroll discrepancies while ensuring compliance with company policies.
  • Process employee status changes including cost centers, reporting relationships, job titles, and other payroll-related updates.
  • Administer garnishments, withholding orders, and other payroll deductions.
  • Validate and process employee tax withholding changes while ensuring compliance with applicable federal, state, and local regulations.
  • Maintain payroll records and ensure confidentiality of employee information.
  • Generate payroll reports and provide payroll data to support operational and financial reporting requirements.
  • Respond to employee payroll inquiries and provide outstanding customer service.
  • Serve as the primary payroll liaison for employees regarding payroll matters related to leaves of absence, coordinating with Human Resources, payroll providers, and benefits administrators to ensure accurate pay, deductions, and compliance throughout the leave process and upon return to work.
  • Monitor payroll legislation and regulatory changes and communicate compliance requirements to management.
  • Serve as the site subject matter expert for payroll and timekeeping systems.
  • Train new and existing employees and managers on payroll and timekeeping processes.
  • Lead payroll and timekeeping system rollouts, updates, and continuous improvement initiatives.
  • Collaborate with HR and Operations to improve payroll accuracy and timekeeping compliance.

Qualifications
  • Associate degree in Business Administration, Accounting, Human Resources, or a related field preferred, or equivalent work experience.
  • Minimum 3–5 years of office administration and payroll administration experience.
  • Experience processing multi-frequency payrolls (weekly and biweekly) preferred.
  • Knowledge of payroll regulations, tax requirements, garnishments, and wage and hour compliance.
  • Experience with payroll and timekeeping systems, Dayforce and SuccessFactors preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.
  • Strong organizational, time management, and multitasking skills.
  • Excellent verbal and written communication skills.
  • High attention to detail with strong analytical and problem-solving abilities.
  • Ability to maintain confidentiality while handling sensitive employee information.
  • Ability to work independently while collaborating effectively across multiple departments.
