Job Title: Development and Outreach Coordinator

POSITION OVERVIEW: The Community Relations Development & Outreach Coordinator plays a vital role in advancing the organization's mission through community engagement, donor development, event coordination, and volunteer program support. Working closely with the Community Relations Manager, this position helps plan, coordinate, and implement outreach strategies that enhance visibility and strengthen community connections.
This role supports fundraising initiatives and special events designed to increase community awareness, build meaningful relationships, and expand organizational capacity. The coordinator serves as an ambassador for the organization, utilizing strong interpersonal, written, and verbal communication skills to effectively engage donors, volunteers, partners, and the broader community.
Blending community relations, development, event planning, and administrative coordination, this position contributes to a cohesive and strategic approach to external engagement and organizational growth.
ESSENTIAL POSITION RESPONSIBILITIES:
Community Relations & Outreach
  • Support the Community Relations Manager in developing and implementing outreach strategies that increase community awareness, support and referrals.
  • Represent the organization at community events, resource fairs, public appearances, and engagement meetings throughout Central Oregon.
  • Build and nurture relationships with community partners, volunteers, donors, and stakeholders.
  • Develop communications such as press releases, donor correspondences, quarterly digital newsletters, recognition materials, and year-end tax receipts.
  • Assist with marketing initiatives, branding efforts, and promotional collateral in collaboration with the Community Relations team.

Development & Donor Support
  • Assist with donor cultivation, stewardship, and major gift prospects.
  • Support planning and execution of fundraising campaigns, including securing sponsorships, monetary and in-kind donations.
  • Maintain accurate donor records and manage the donor database, ensuring confidentiality and data integrity.
  • Generate reports and provide data support to the Community Relations Manager and Business Department as needed.
  • Procure promotional materials and donor gifts, including research, ordering, and tracking within budget guidelines.

Event Planning & Coordination
  • Assist with planning, logistics, promotion, and execution of fundraising events, donor meetings, appreciation gatherings, and community resource fairs.
  • Coordinate event timelines, materials, vendors, volunteers, and internal support.
  • Create event promotional materials.

Volunteer Program Coordination
  • Coordinate the organization's administrative volunteer program, including recruitment, onboarding, communication, and retention.
  • Serve as a key point of contact for volunteers and support a positive, mission-aligned volunteer experience.
  • Track volunteer engagement data and participation.

Requirements
QUALIFICATIONS, SKILLS, and EXPERIENCE:
Minimum/Required:
  • Bachelor's Degree
  • 3 years relevant work experience (community relations, communications, development, event planning, or related fields).
  • Excellent verbal, written, and interpersonal communication skills to engage with stakeholders, donors, and the community, including public speaking.
  • The ability to plan, execute, and oversee multiple projects simultaneously, ensuring deadlines are met.
  • Experience in planning and coordinating events, including logistics, budgeting, and promotion
  • Extensive experience with Microsoft Office Products.
  • Proficiency in managing donor databases and using software to track contributions and communications.
  • Understanding budgeting, financial reporting, and the ability to work with financial data related to fundraising activities.
  • Ability to work independently and collaboratively within a team environment.
  • Ability to work evenings and weekends if necessary.
  • Valid driver's license and access to reliable transportation for regular travel to community events and partner locations.
  • Must live in Central Oregon

  • Experience with donor management software, Bloomerang.
  • Background or experience in marketing.
