Position Overview
The Customer Service Representative is responsible for providing general customer support with a primary focus on processing part and pump quotes, order entry, warranty claims, and invoice billing issues. This role serves as the first point of contact for customers and works closely with sales and operations teams to ensure a high level of customer satisfaction and timely order fulfillment.
Roles & Responsibilities
- Serve as the first point of contact for customer inquiries and support requests
- Adhere to ISO9001 Customer Service procedures and work instructions
- Maintain Quote Logs and Production Order Tracking databases
- Utilize ERP-LX systems for order entry and customer transactions
- Prepare and provide part, pump, and motor quotations to customers
- Process customer orders and provide order status updates
- Assist with warranty claim processing and credit memo requirements
- Support no-charge requests and invoice billing activities
- Prepare customer communication folders and related documentation
- Process change orders including address changes, schedule updates, and carrier modifications
- Support sales teams with customer service activities and account management
- Perform export compliance activities as required
- Interface with customers to resolve accounts receivable and collections disputes
- Maintain accurate records and documentation
- Perform additional duties as assigned by the Customer Service Manager
Minimum Qualifications
- High School Diploma required
- 1โ3 years of customer service or related experience
- Strong financial and accounting aptitude
- Excellent communication and problem-solving skills
- Proficiency with Microsoft Office applications
- Ability to manage multiple priorities and deliver high-quality customer service
Preferred Qualifications
- Associate degree or some college education preferred
- Experience with ERP-LX or similar ERP systems
- Knowledge of warranty claims and billing processes
- Familiarity with export compliance requirements
- Experience supporting sales and customer account activities
- Background in manufacturing or industrial customer service environments
