Warehouse Administrator

MONDAY - THURSDAY 7:30AM - 5:30PM

Job Summary:The Warehouse Administrative Admin is responsible for providing administrative support to the warehouse operations team. This role involves managing inventory records, coordinating shipments, and ensuring efficient warehouse operations. The admin will also support the Senior Warehouse Manager and team members in daily tasks and manage general administrative activities.

Key Responsibilities:

  • Assist in inventory records and ensure data integrity in the warehouse management system (WMS).
  • Maintain and update documents as per regulations of FDOT for fleet drivers.
  • Compile and organize fleet driver logs.
  • Assist in coordinating inbound and outbound shipments, including scheduling and tracking deliveries.
  • Assisting with missed punches and time clock reports.
  • Prepare and process shipping documents, invoices, and other related paperwork.
  • Assist with inventory audits and cycle counts to ensure inventory accuracy.
  • Monitor and order warehouse supplies as needed.
  • Generate and distribute reports on warehouse performance metrics.
  • Support the warehouse team with administrative tasks and special projects as required.
  • Answer and direct phone calls, providing general support to the Senior Warehouse Manager.
  • Handle sensitive information in a confidential manner.
  • Coordinate with vendors for weekly garbage pick-up.
  • Reply to email, telephone, or face-to-face inquiries.
  • Resolve administrative problems and coordinate repairs to office equipment.
  • Perform administrative duties such as scanning, faxing, data entry, and general warehouse support as needed.
  • Any other tasks delegated by the warehouse director as per the needs of the business.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree in business administration or a related field preferred.
  • Proven experience in a warehouse administrative role or similar position.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and warehouse management systems.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving abilities.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills and ability to prioritize work.

Physical Requirements:

  • Ability to lift and move items up to 35 pounds.
  • Ability to stand, walk, and perform repetitive tasks for extended periods.

Working Conditions:

  • Warehouse environment with exposure to varying temperatures.
  • Regular exposure to humid conditions while working inside the warehouse.
  • Frequent exposure to work near moving mechanical parts.
  • Occasional exposure to working in high, precarious places (greater than 6ft).
  • Occasional exposure to fumes or airborne particles.
  • Noise level in the work environment is usually moderate to loud.
  • May require occasional overtime or weekend work.
