Job description

POSITION SUMMARY

The Data Specialist supports the agency's Quality Assurance and Quality Improvement (QA/QI) initiatives by collecting, organizing, analyzing, and managing data from internal and external reviews. This role uses AI-supported systems, electronic databases, Microsoft SharePoint, and OPWDD-related systems to maintain accurate records, identify compliance trends, and support regulatory readiness.


POSITION DUTIES

  • Uploads, maintains, and organizes external and internal quality review data, audit documentation, and regulatory records within the QA/QI internal data management system and Microsoft SharePoint.
  • Collects, retrieves, validates, and analyzes documentation and data obtained through internal reviews, external audits, and New York State Office for People With Developmental Disabilities systems to ensure accuracy, completeness, and compliance.
  • Develops reports, dashboards, and tracking tools that summarize findings, identify trends and monitor corrective actions.
  • Utilizes AI-supported systems, electronic databases, and reporting tools to support data collection, organization, trend analysis, and compliance monitoring activities.
  • Maintains data integrity by identifying, investigating, and resolving incomplete, inaccurate, or inconsistent records in coordination with program staff and leadership.
  • Assists with preparation for OPWDD surveys, audits, and regulatory reviews by gathering, organizing, and maintaining required supporting documentation.
  • Participates in standing committees, quality improvement initiatives, meetings, trainings, and strategic projects, as assigned.
  • Maintains ongoing knowledge of OPWDD regulations, agency policies and procedures, HIPAA requirements, and other applicable regulatory standards.
  • Performs all other duties, as assigned.

REQUIREMENTS

  • AA/AS in related Data Science, Computer Science, Public Health fields.
  • Proficiency with Microsoft SharePoint for document management, workflow tracking, data organization, and collaboration.
  • Experience utilizing AI-supported data management or audit tracking systems to upload, organize, analyze, and report quality assurance data.
  • Strong working knowledge of electronic document management systems, cloud-based databases, and data tracking systems.
  • Advanced proficiency in Microsoft Excel, including data sorting, filtering, formulas, pivot tables, and report generation.
  • Proficiency in Microsoft Word, Microsoft Outlook, and Microsoft Teams.
  • Ability to learn and adapt to agency-specific software systems, audit tools, and regulatory databases.
  • Experience maintaining confidential electronic records and ensuring compliance with HIPAA and agency data security requirements.
  • Performs all job responsibilities in full compliance with all applicable laws, rules, regulations, policies and procedures. Adheres to the agency's corporate compliance program, including the code of business conduct, the NYS and federal false claims acts, whistleblower protections and mandatory reporting. Completes corporate compliance training at least annually. Fully cooperates in all corporate compliance investigations and reviews.
