***This is a 4-month temporary assignment with the ability to be extended***


Organization Overview

Our client turns lives around through innovative, wraparound services that keep people out of institutions and in their communities. The organization is a leader in the forensic treatment space, offering high-quality, specialized treatment programs that serve thousands of justice-involved individuals. Programs span criminal justice intercepts and include pre-arrest interventions, court-based diversions, jail in-reach, and intensive post-release services. The organization operates in partnership with County agencies including the Department of Mental Health (DMH), the Department of Health Services (DHS), and the Justice, Care and Opportunities Department (JCOD). Annually, the organization serves over 1,500 justice-involved individuals.


The Position

The Operations Assistant works with the operations team to ensure a smooth workflow and support various departmental needs. Reporting to the Operations Manager, this role plays a vital part in keeping the business running effectively. Strong reception and/or bookkeeping experience is highly valued in this role.


Essential Functions

Assist with vendor communication and coordination, housing site procurement, IT inventory, and operations-related expenses

  • Conduct vendor communication for various services and supplies, as assigned by the Operations Director
  • Create and manage appointments with external vendors. Escalate vendor-related problems as necessary.
  • Assist with follow up on fiscal transactions and staff requests

Support the general operations and logistics of the organization

  • Review maintenance log for requests for housing sites, the DTLA office, and vehicles
  • Schedule appointments with vendors for maintenance at housing sites
  • Assist with equipment setup, onboarding, and support for technical requests from staff
  • Complete operations projects and initiatives

Fulfill baseline staff expectations

  • Regular attendance required. Holiday or weekend work may be required.
  • Maintain and uphold agency mission statement, values, policies, procedures, and principles
  • Perform other duties as needed

  • Excellent communication and interpersonal skills, with the ability to build relationships with vendors and internal staff
  • Strong reception, front desk, or administrative support skills
  • Bookkeeping or fiscal support experience (accounts payable, expense tracking, reconciliations)

Minimum Qualifications


Required:

  • Experience working with culturally diverse populations
  • Valid CA driver's license, proof of insurance and own vehicle required
  • Minimum of 1-2 years of experience in a facilities, operations, or procurement role
  • Strong analytical and problem-solving skills
  • Verification of Employment Eligibility and Background Check
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Working knowledge of database management software (e.g., Access) a plus.
  • Proficient in English language skills. Bilingual Spanish preferred.


Preferred:

  • Reception or front desk experience
  • Bookkeeping experience or familiarity with accounting software (QuickBooks or similar)
