THIS IS A TEMPORARY ENPLOYMENT OPPORTUNITY
Position Summary
Tidal Basin, a leading emergency management consulting firm, has an immediate opportunity for an Administrative Assistant. This position provides support to the Program Manager and assists Disaster Case Managers. Providing clerical support by performing general office duties, including managing emails and phone calls, and coordinating meetings and conference calls. This position will also assist in ensuring proper documentation is completed, including timesheets.
Job Duties and Responsibilities
Primary Responsibilities
  • Document Management - Maintain accurate records and documentation related to substantial damage estimates, including assessments, reports, and correspondence.
  • Correspondence Generation - Draft, proofread, and distribute formal correspondence as directed.
  • Coordination Support - Assist the damage estimators' team in organizing schedules, tracking project deadlines, and ensuring all documentation is submitted in a timely manner.
  • Communication Management - Ensuring prompt responses and relaying messages to the project team and stakeholders.
  • Data Entry and Reporting - Input data and generate necessary reports for internal and external use.
  • File Organization - Establish and maintain electronic filing to ensure easy access to documentation and correspondence.
  • Quality Control - Review documentation for accuracy and completeness, helping to ensure all communications meet established standards.
  • Support Compliance Efforts - Ensure that all administrative processes align with project requirements.
  • Operations Support - Perform other duties as assigned.
  • Training - Complete all required compliance training.

Required Skills and Competencies
  • Communication Skills - Excellent written and verbal communication skills, with a strong ability to draft clear and professional correspondence.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Required Education and Experience:

  • A minimum of two (2) years of experience in an administrative support role
  • Specific knowledge of FEMA's Disaster Case Management framework
  • Knowledge of 2 C.F.R 200, 44 C.F.R, and the Stafford Act
  • Must have technical skills in analysis, business accounting principles, and knowledge of construction methodologies.
  • Must be able to clear a criminal background check.

Work is onsite and will be Monday-Friday, approximately 8:30am to 5pm and (Potentially)Saturdays 8am- 12pm
