Job description

Provide key data administrative services for our Rapid Rehousing program and Keep King County Housed programs for families facing housing insecurity.Job Summary:

JourneyHome consists of a โ€œRapid Rehousing (RRH)โ€ program that provides comprehensive case management, housing search and a wide range of supportive services targeted for homeless families. JourneyHome also has a United Way funded โ€œKeep King County Housed (KKCH)โ€ program providing one-time rental assistance. The Program Coordinator & Data Specialist provides data & administrative support to the JourneyHome RRH and KKCH programs, including entering data, preparing and tracking check requests, invoices, and completing client data reports, pulling King County Parcel Viewer documents and preparing Rent Reasonableness forms as well as working in Coordinated Entry (CE) and HMIS (Homeless Management Information System).

Essential Responsibilities, Duties and Tasks:

30% Maintain the JourneyHome RRH and KKCH data systems, including client-level data entry and reporting. Ensure data entry is completed within required timeframes. Compile client service and demographic information from program databases and other tracking systems to complete monthly, quarterly, and annual data reports for internal and external purposes. Complete routine data quality analysis, data cleanup, query creation, and other data needs as requested by Housing Stabilization Manager.

30% Ensure financial documentation and tracking are accurate and complete. Prepare and submit check requests for client expenses when needed. Ensure that client assistance check requests are appropriate and are adequately documented to meet funding requirements. Assist with monthly client assistance financial tracking and reports required for city and county invoicing, coordinating with Finance Contract Budget Analyst. Train new JH staff on program finance procedures.

15% Provide administrative coordination for the JourneyHome RRH and KKCH programs. Function as lead coordinating JH program referral including posting openings in CE attending case conferencing meetings, communicating with CEA staff, referral partners, preparing RRH and KKCH referral paperwork for case managers, tracking referrals, updating referral tracking systems, and communicating with Coordinated Entry if a household referred is found to be ineligible. Serve as point of contact for potential and existing program vendors and obtain Outside Service Agreements for contractors working with JH RRH. Distribute and track bus tickets for RRH program participants. Assist with client file review and other tasks assigned. Responsible for supervision of JH data volunteer(s), including project development and training and completing related paperwork/reporting to Volunteer Services

15% Represent agency at a community level. Participate in HMIS and CaseWorthy database training and Data FLT and developer meetings and provide related support as needed to program staff and data developers.

5% Participate in program, Department and agency meetings and relevant trainings as required, as well as inter-agency groups that provide assistance and advocacy to homeless families.
