Statewide Roofing is a full-service commercial roofing contractor that has been delivering premium roofing solutions in Silicon Valley for over 15 years. We focus on understanding and delivering solutions tailored to our clients' specific needs, offering a full range of roofing applications.

Status: Full-time, M-F 6:30 AM - 3 PM

Location: On-site, San Jose, CA

About the role:

The Customer Service Administrator plays a critical role in supporting the Service Department by accurately managing data, administering systems, and providing operational support. This position is responsible for maintaining service records, ensuring data integrity across company platforms, processing work orders, and supporting reporting, billing, and workflow processes. The ideal candidate has experience in construction, roofing, or the service industry, is highly organized and detail-oriented, and is capable of managing large volumes of information with a high degree of accuracy.

Duties and responsibilities

Service Administration

  • Create, update, and maintain service work orders within company software systems.
  • Ensure all customer, property, and service data is accurately maintained in the company databases.
  • Process and track warranty requests, maintenance agreements, and customer records.
  • Monitor open work orders and assist in maintaining workflow accountability.

Data Entry and System Management

  • Perform high-volume data entry with a strong focus on accuracy and attention to detail.
  • Maintain and audit customer databases to ensure data consistency and integrity.
  • Assist with implementing, testing, and maintaining the company's software platforms.
  • Generate and distribute reports related to service activity, technician productivity, customer
  • contracts, and departmental performance

Accounting and Administrative Support

  • Process purchase orders, work orders, and supporting documentation.
  • Support contract administration and renewal tracking.
  • Assist management with data analysis and operational reporting.
  • Provide general administrative support to the Service Department.

Process Improvement

  • Identify opportunities to improve workflows, reporting accuracy, and operational efficiency.
  • Assist in documenting and maintaining department procedures and standards.
  • Support training efforts related to company software and administrative processes.

Qualifications

  • Minimum two years of administrative, operations, or data entry experience.
  • Advanced computer skills with proficiency in cloud-based business software.
  • Strong typing and data entry skills with exceptional attention to detail.
  • Experience working with ERP, CRM, service management, or scheduling software preferred.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Self-motivated and capable of working independently.
  • Strong analytical and problem-solving skills.
  • Construction, roofing, facilities maintenance, or service industry experience preferred.
  • Ability to work full-time at 40 hours per week.
  • Availability for overtime hours during the rainy season & business spikes.
  • Must be a team player and perform well under pressure.

Physical Requirements

  • Lift general office files and materials up to 25 lbs
