Job Summary

Under the supervision of the Director of Admissions, the Data and Administrative Support Specialist provides essential support to undergraduate data specialists, administrative assistance to the Director of Admissions, and serves as a welcoming, professional presence for the Office of Undergraduate Admissions. Key responsibilities include accurate and efficient data processing, timely communication, office management, and supervision of student workers.

Duties and Responsibilities

This job description does not state or imply that these are the only duties to be performed by the employee occupying this position. The duties and responsibilities listed are essential job functions and exclude functions which are incidental to the performance of fundamental job duties.

  • Assist the university in implementing the Statement of Purpose.
  • Assist the university in implementing the long-range institutional and financial plans.
  • Support incoming student registration, admission file management, and updates within the Student Information System (SIS) and Customer Relationship Management (CRM) system.
  • Process assigned documentation efficiently and accurately in the CRM and/or SIS. Including but not limited to standardized test score reports, transcript distribution, miscellaneous documents via SharePoint, and weekly applicant accountability reviews.
  • Manage the Office of Undergraduate Admissions email account by processing submissions, researching internal and external inquiries and providing timely and professional communication, addressing concerns with appropriate encouragement or de-escalation 
  • Serve as the primary point of contact for the undergraduate Office of Undergraduate Admissions, helping students, faculty, staff, and visitors.
  • Assist the Director of Admissions with office management tasks, such as reporting, receipts, purchase orders, check requests and other university forms or documents.
  • Supervise student workers by managing semester work schedules, assigning projects, conducting training, approving timesheets, and maintaining office manuals.
  • Assist in executing events hosted by the Office of Recruitment as needed.
  • Cross-train with data specialists and others to ensure seamless coverage of data-related responsibilities.
  • Perform other job-related tasks as necessary for the efficient operation of the Office of Undergraduate Admissions.
  • Participate in the annual evaluation of the effectiveness of the Office of Undergraduate Admissions.
Required Qualifications
    • Associate’s degree or equivalent professional experience as determined by the Director and Assistant Directors of Admissions
    • Familiarity with Microsoft Office Suite
    • Strong organizational skills with attention to detail
    • Exceptional customer service and interpersonal skills
    • High level of emotional intelligence and professionalism
    • Self-motivated with the ability to manage multiple tasks efficiently
