The Administrative Assistant performs administrative and clerical duties in support of general office operations and the Human Resources function. This position is responsible for maintaining records, coordinating routine office and HR activities, and providing bilingual administrative support to employees and management. The role requires accurate handling of confidential information, effective communication in English and Spanish, and the ability to prioritize multiple tasks in a structured office environment.

Your Impact
  • Administer front office activities including phone calls, emails, appointments, and visitor reception
  • Communicate effectively with employees and visitors in both English and Spanish
  • Maintain office supplies, equipment, and vendor relationships
  • Coordinate meetings, prepare agendas, and take meeting notes as needed
  • Organize and maintain electronic and physical filing systems and support general administrative tasks such as data entry, correspondence, and document preparation

Your Experience and qualifications
  • High school diploma or equivalent required, Business Administration, or a related field preferred; relevant experience may be considered in lieu of a diploma. Fluency in both English and Spanish (verbal and written) is required
  • 2 plus years of experience in an administrative, office assistant, or HR support role. Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and HRIS systems. Strong organizational skills with exceptional attention to detail. Ability to handle confidential information with discretion and professionalism.
  • Assist with employee onboarding and offboarding processes, including bilingual communication and documentation. Translate or assist with interpretation of basic HR-related information for Spanish-speaking employees. Maintain accurate employee records and HR files in compliance with company policies and legal requirements. Support benefits administration, timekeeping, and basic payroll coordination
  • Assist with recruitment activities including job postings, scheduling interviews, and candidate communication. Respond to routine employee questions regarding HR policies, procedures, and benefits in both languages. Support HR initiatives, training sessions, employee events, and compliance activities
  • Familiarity with HRIS, timekeeping, or payroll systems. Excellent written and verbal communication skills in English and Spanish. Strong interpersonal skills with a customer-service mindset. Ability to prioritize tasks, manage multiple deadlines, and work in a fast-paced environment. Self-motivated with the ability to work independently and collaboratively

Your Compensation
This position will pay within the range of $41,000 - $75,000, based on experience. This position is eligible for a bonus based on 5% of compensation.
