Data Clerk
Boys & Girls Clubs of Utah County & Southern Utah
Position Type: Part-Time, Non-Exempt
Reports To: Senior Director of Data, Enrollment & Compliance
Department: Operations / Data & Compliance
Position Summary
The Data Clerk supports the organization's data management systems by ensuring the accuracy, consistency, and integrity of program data across all Boys & Girls Clubs of Utah County & Southern Utah afterschool locations. This position plays a vital role in reviewing weekly program reports, identifying data discrepancies, supporting quality assurance efforts, maintaining organizational tracking systems, and assisting with data collection for grants, compliance, and organizational reporting.
Working closely with the Senior Director of Data, Enrollment & Compliance, Site Directors, and leadership staff, the Data Clerk helps maintain efficient data systems, troubleshoot spreadsheet and coding issues, and develop tracking tools that support data-informed decision-making across the organization.
Essential Duties and Responsibilities
Data Quality & Weekly Reporting
  • Review weekly program reports submitted by all program locations for completeness, accuracy, and compliance.
  • Identify missing, inconsistent, or inaccurate data and communicate corrections to appropriate staff.
  • Monitor organizational data quality standards and assist with ongoing quality assurance efforts.
  • Perform routine audits of organizational databases and tracking systems.
  • Verify data aligns with organizational policies, grant requirements, and reporting expectations.
  • Assist in maintaining accurate documentation across multiple reporting systems.
Spreadsheet & Systems Support
  • Assist in maintaining Google Sheets, dashboards, databases, and organizational tracking tools.
  • Troubleshoot spreadsheet formulas, coding errors, automation issues, and reporting inconsistencies.
  • Support updates and improvements to existing tracking systems.
  • Support in the creation of new spreadsheets, dashboards, and data collection tools to improve organizational efficiency.
  • Test new workflows and assist with implementation of system improvements.
Data Reporting & Analysis
  • Assist with pulling data for:
    • Grant reports
    • Board reports
    • Organizational dashboards
    • Program evaluations
    • Attendance and enrollment reporting
    • Compliance reporting
  • Compile data into organized reports and summaries.
  • Verify accuracy of data before pulling for reporting.
Data Entry & Record Management
  • Enter, update, and maintain organizational records with a high degree of accuracy.
  • Organize electronic files and documentation for easy retrieval.
  • Maintain confidential information in accordance with organizational policies.
  • Assist with importing, exporting, and validating data between systems.
Process Improvement
  • Identify opportunities to improve reporting efficiency and data quality.
  • Assist with documenting standard operating procedures for organizational data systems.
  • Recommend improvements to spreadsheets, workflows, and reporting processes.
  • Support the development of training materials and user guides for data systems.
Collaboration
Work collaboratively with:
  • Senior Director of Data, Enrollment & Compliance
  • Member Enrollment Specialists
  • Site Directors
  • Area Directors
to ensure accurate organizational reporting and high-quality data management.
Qualifications
Education
High School Diploma or equivalent required.
Associate's degree in Business, Information Systems, Data Analytics, Computer Science, Business Administration, or a related field preferred.
Equivalent experience may be considered.
Experience
Preferred:
  • One or more years of administrative, clerical, or data management experience.
  • Experience working with Google Workspace, particularly Google Sheets.
  • Experience using spreadsheets with formulas, lookups, filtering, and data validation.
  • Experience maintaining confidential records.
  • Experience supporting reporting or database management.
Knowledge, Skills & Abilities
