Job description

The Leave of Absence Coordinator is responsible for coordinating and administering employee leave of absence programs and supporting workplace accommodation processes across the organization. This role serves as a key resource for employees and managers, providing guidance on leave procedures, documentation requirements, eligibility, and return-to-work processes. The Leave of Absence Coordinator manages a variety of leave cases, maintains accurate records, and partners with Human Resources, Payroll, managers, and third-party administrators to ensure timely and compliant case administration. With a strong understanding of leave regulations and best practices, this position helps promote a positive employee experience while supporting organizational compliance and business operations. This position is fully onsite at our office in Lake Oswego, Oregon. 

Salary: $55,000 - $70,000 DOE

Key Responsibilities

Leave of Absence Administration

  • Coordinate and administer employee leave programs, including FMLA, state paid leave, military leave, personal leave, disability leave, and other company-sponsored leave programs.
  • Manage continuous and intermittent leave cases from initiation through return to work.
  • Maintain accurate and complete case records and documentation.
  • Serve as a liaison between employees, managers, healthcare providers, and third-party administrators throughout the leave process.
  • Support the interactive process for employees requesting workplace accommodations.
  • Partner with HR, Safety, managers, and other stakeholders to facilitate approved accommodations.
  • Administer leave and accommodation processes in compliance with federal, state, and local regulations, as well as company policies.
  • Serve as a primary point of contact for employees and managers throughout the leave lifecycle.
  • Provide guidance regarding leave eligibility, documentation requirements, benefits continuation, and return-to-work expectations.
  • Support employees through potentially sensitive situations with professionalism, empathy, and confidentiality.
  • Assist with the ongoing administration and continuous improvement of leave and accommodation programs.
  • Maintain process documentation and support implementation of procedural enhancements.
  • Partner closely with Human Resources, Benefits, Payroll, Safety, and operational leaders to ensure effective case management.
  • Collaborate with managers to facilitate smooth employee transitions before, during, and after leave.
  • Support HR leadership by providing case updates, reporting, and administrative support as needed.

Qualifications

  • 3-5 years of experience in leave administration, benefits administration, human resources, disability management, or a related field.
  • Working knowledge of FMLA, ADA/ADAAA, state leave programs, and other applicable leave regulations.
  • Experience managing leave cases and maintaining confidential employee information.
  • Strong organizational, documentation, and case-management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple cases simultaneously while meeting deadlines.
  • Proficiency with HRIS, case management, and Microsoft Office applications.
  • Experience in construction, manufacturing, or other safety-sensitive industries preferred.

Education

  • Associate's or Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred.
  • Relevant experience administering leave of absence, disability, or accommodation programs may be substituted for formal education.

  • Professional certifications related to Human Resources, leave management, or benefits administration are a plus.
