The Office Support Associate provides routine, on-site support for day-to-day workplace operations including welcoming clients and visitors, by acquiring and applying job skills and learning company policies and procedures. Job Description:
Position Summary
  • Help maintain a welcoming, organized, and professional office environment.
  • Support routine phone coverage and call-tree processes by answering or routing calls, following established call-handling procedures, and helping maintain accurate call-tree information as directed.
  • Support conference rooms, reception areas, common spaces, and supply areas to ensure they are ready for daily use.
  • Serve as a key point of contact for associates, clients, and visitors, providing exceptional service and assistance.
  • Help ensure office spaces remain stocked, functional, and presentation-ready.
  • Support Daily Office Operations
  • Perform routine workplace operational checks and support ongoing office needs.
  • Monitor office supplies, room readiness, and basic equipment functionality.
  • Coordinate service requests and escalate issues when appropriate.
  • Assist with office moves, workspace set-ups, and operational projects.
  • Deliver Outstanding Administrative Support
  • Assist with shipping and mail services, scanning, scheduling support, travel coordination, expense submissions, and CRM updates.
  • Support Workplace Services initiatives and office programs.
  • Communicate updates, reminders, and important information to office teams.
  • Contribute to process improvements and share best practices with colleagues across locations.
  • Coordinate Vendor & Facility Services
  • Partner with building management, maintenance providers, delivery services, and other vendors.
  • Submit and monitor service requests and facility tickets.
  • Coordinate logistics and access for service providers.
  • Track requests to completion and provide status updates.
  • Support Safety & Business Readiness
  • Assist with workplace safety initiatives and emergency preparedness activities.
  • Help maintain emergency supplies, postings, and workplace readiness plans.
  • Partner with Workplace Services leadership to ensure a safe and well-supported office environment.

Qualifications
  • High School Diploma or equivalent.
  • 1+ years of experience in office support, customer service, hospitality, administrative support, workplace services, or a related field.
  • Strong interpersonal and communication skills.
  • Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to learn workplace procedures, follow established processes, and work independently on assigned responsibilities.
  • Preferred
  • Experience in workplace operations, office services, reception, hospitality, facilities support, or corporate office environments.
  • Experience coordinating vendors, service requests, or maintenance activities.
  • Familiarity with ticketing systems, workplace technology, or building operations.
  • Exposure to workplace safety, emergency preparedness, or business continuity programs.

Work Environment & Physical Requirements
This position is primarily on-site in an office environment. The role may require periods of standing and walking, moving light to moderate supplies, and supporting the set-up and reset of shared spaces to enable day-to-day operations.
This position is a non-exempt position. The annualized base pay range for this role is expected to be between $60,000-$70,000 base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant's skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Please note that the job title is subject to change based on the selected candidate's experience and education.
