Job description

Customer Service Assistant

As a Customer Service Assistant, you will play a key role coordinating our loaner car program, radio returns, and Krex claims processing for the Servco Toyota Windward service department. This position will also assist Service Consultants with opening repair orders and active deliveries as needed.

Responsibilities:

  • Confirm customer appointments and service needs
  • Prepare loaner agreement and ensure customer has valid driver's license and insurance documents
  • Track loaner vehicle mileage and perform vehicle walk around with customer
  • Ensure loaner vehicles are cleaned and fueled. Maintain vehicle fuel log
  • Document loaner vehicle damages and follow-up with customer or insurance company for payment of damages
  • Prepare daily loaner vehicle report
  • Submit radios claims on a timely basis
  • Pack and ship returned radios to vendor
  • Order replacement radios and arrange for radio installation appointment when new radio arrives
  • Prepare and submit Krex claims and monitor status of payment
  • Receive and resolve customer complaints and/or route to appropriate individual or service manager for resolution
  • Assist Service Consultants with opening report orders and actively delivery as needed
  • Provide clerical support to the service management team

Requirements:

  • High school graduate or equivalent
  • Minimum six months of general clerical or customer service work experience
  • Auto dealership service department experience preferred
  • Proficient with Microsoft Word and Excel
  • Dealership management system experience and/or DealerTrack experience preferred
  • Accurate typing
  • Strong communication and customer relations skills
  • Must be detail oriented, able to multi-task and be a team player
