Overview:
Operations Coordinator
We are seeking a highly organized and detail-oriented Operations Coordinator to support terminal and logistics operations through payroll administration, financial tracking, vendor management, reporting, and compliance activities. This role plays a critical part in ensuring accurate payroll processing, invoice management, operational reporting, and regulatory compliance while supporting the day-to-day success of our operations team.
Job Description
WHAT YOU'LL DO:
  • Coordinate weekly payroll processing, timesheet review, employee record updates, payroll corrections, and employment verifications.
  • Manage accounts payable activities including invoice review, coding, reconciliation, vendor setup, check requests, and purchase tracking.
  • Maintain operational reports and key performance indicators (KPIs), including labor hours, unit volumes, utility consumption, safety metrics, and month-end reporting.
  • Support office operations by managing mail, supplies, service invoices, company vehicle registrations, and administrative records.
  • Track workplace incidents, lost-time cases, OSHA-related reporting, and compliance requirements while coordinating with Risk & Insurance teams.
  • Partner with Operations, Accounting, Human Resources, vendors, and external agencies to ensure accurate reporting, compliance, and efficient day-to-day operations.

Job Requirements
WHAT YOU'LL NEED:
  • 2+ years of experience in operations coordination, payroll, accounting support, or administrative roles
  • TWIC card or the ability to obtain one before start date
  • Strong proficiency in Microsoft Office, including Excel and Outlook
  • Exceptional attention to detail, accuracy, and organizational skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong communication and problem-solving skills

EVEN BETTER IF YOU HAVE:
  • Experience working with unionized workforces and labor payroll processes
  • Knowledge of payroll compliance, garnishments, employment verifications, and employee record administration
  • Knowledge of OSHA reporting, safety compliance, and incident tracking
