The Role
As Client Experience Associate, you are the first voice clients hear and the first face they see. You set the tone for every interaction, keep the advisory team prepared and on schedule, and make sure clients feel genuinely known and cared for at every touchpoint. This role does not cross into operations, compliance, or financial processing. It requires exceptional people instincts, strong organizational ability, and the kind of warmth that turns a routine appointment into a lasting impression.
What You'll Do
  • Serve as the first point of contact for all inbound calls, emails, and office visits. Answer and screen incoming calls, welcome every client to the office, and handle every interaction with professionalism and warmth so nothing falls through the cracks.
  • Own the client record. Keep Salesforce current with every contact and contact attempt, capture data from handwritten notes and dictations, and distribute team notes so everyone stays up to date on every relationship.
  • Keep the calendar running cleanly. Schedule and confirm all client meetings, prepare meeting agendas and binders, and make sure every client is ready and set up before their appointment starts.
  • Own the client appreciation program end to end. Send birthday letters and cards, holiday cards, handwritten thank-you notes, and etiquette messages at the right moments. Source and send "surprise and delight" gifts, coordinate milestone celebrations, and manage client referral gifts. The goal is for every client to feel genuinely known, not just serviced.
  • Plan, coordinate, and attend client events. You own 9 to 10 client social and education events per year from start to finish: vendors, logistics, timelines, and on-site execution. You also manage monthly client mailings and bulk outreach as part of the team's communication calendar.
  • Handle the administrative paperwork that keeps the firm organized and compliant. Gather signatures on LOAs, third-party authorization forms, and trusted contact documentation. Keep the compliance approvals file current and make sure marketing materials are submitted for approval before use.
  • Manage day-to-day office flow. Keep supplies stocked, handle incoming mail, maintain the resource library, keep printed marketing materials stocked, and coordinate any cleaning or maintenance needs. The office should always be client-ready.
