Job description

The Executive Administrative Assistant provides high-level administrative and organizational support to the Executive Team. By assisting executives, greeting visitors, and coordinating meetings, this role helps ensure a positive, efficient, and collaborative office atmosphere.

Salary range for this position is $69,280.38 - $80,996.76 with a progressive benefit package. 


Performs essential duties and responsibilities in the following areas which may include but are not limited to those listed and are subject to change.
  1. Adheres to the Credit Union's core values and Service Standards in conducting GreenState's mission and vision.
  2. Demonstrates a positive member service (internal and external) focus at all times.
  3. Demonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.
  4. Ensures confidentiality of member information.
  5. Supports a diverse and inclusive work environment.
  6. Represents GreenState with the highest level of professionalism.
  7. Supports the executive welcome desk and serves as the point of contact for employees, guests, members, and other external organizations for the Executive Team.
  8. Manages multiple or complex calendars to include updating schedules, blocking time for meetings to include prep and travel time, and protects focus period.
  9. Schedules travel accommodations to include booking flights, making hotel and other related accommodations, arranging itineraries, preparing travel documents, and supporting expense reporting.
  10. Assists in the drafting, editing, formatting, filing, and mailing of correspondence, presentations, reports, and other documents.
  11. Attends meetings and serves as a minute or note taker as needed.
  12. Safeguards sensitive, confidential information with a high level of discretion sensitive information and maintain organized, secure filing systems.
  13. Organizes and prioritizes incoming requests.
  14. Assists with special projects by coordinating resources, tracking progress, and ensuring deadlines are met.
  15. Assists with the preparation of various GreenState meetings, luncheons, and dinners by preparing documents, room set up, securing proper audio/visual equipment, ordering food and beverages, etc.
  16. Maintains inventory of office supplies and places orders when necessary.
  17. Anticipate executive needs proactively.
  18. Performs any other duties as may be required to meet credit union objectives.

  1. A two-year college degree in management support is highly preferred.
  2. Minimum two years of related experience supporting executive level management.
  3. Strict adherence to GreenState Credit Union policies, procedures, and operations.
  4. Reports to work punctually, work all scheduled hours, and work overtime as necessitated by business demand.
  5. Exhibit a significant level of trust in addition to normal courtesy and tact.
  6. Ensure the strictest of confidentiality and the ability to manage handling large amounts of sensitive information.
  7. Interpersonal skills required to interact with all levels of GreenState employees and community representatives.
  8. Exhibit a positive attitude and professional image at all times.
  9. Strong organization skills with extreme attention to detail.
  10. Strong verbal, written, and interpersonal communication skills.
  11. Excellent time management skills required to manage and complete multiple assignments at once.
  12. Ability to follow specific directions and multi-task in a fast-paced environment.
  13. Advanced computer Microsoft Office skills (Outlook, Word, Excel, PowerPoint) with an ability to become familiar with firm-specific programs and software.
  14. Able to perform clerical duties such as taking meticulous meeting notes, developing and maintaining files, and protecting confidential information.
  15. Ability to work independent of supervision to complete all tasks with minimal direction and exercise sound judgment.
  16. Access to reliable transportation, a valid driver's license, good driving record, and adequate automobile related insurance.
  17. Ability to travel between GreenState and various community locations on a regular basis.
  18. Must be bondable.

This position reports to the Manager Executive Services.
This position is not responsible for the supervision of others.
