Visuals Studio is a multidisciplinary creative group within the Product, Design, and Marketing organization that conceptualizes, designs, and creates content for a wide variety of Services products. In this role, you'll work closely with the Group Creative Director (GCD) and internal team managers to support a wide variety of creative projects and studio logistics, as well as substantial administrative duties for the GCD. This role is based in Culver City, with an expectation of in-person work three days a week. This position is ideal for a visually minded, organized problem-solver who thrives in an everchanging environment. You're capable of working independently but also understand how to collaborate cross-functionally. You're a motivated self-starter who remains calm, adaptable, and kind under pressure, and you don't mind rolling up your sleeves for whatever is needed in the moment. You don't just keep things running, you're always looking for ways to make them run better, and you take pride in making the GCD's life easier.
Duties include:
  • Assist the GCD in leading a multi-team creative studio
  • Maintain complex calendars, untangle scheduling conflicts, and set up meetings across senior leaders and teams spread throughout offices in multiple cities
  • Coordinate travel logistics, including cars, accommodations, and flights
  • Support special projects such as image research, presentation design, competitive analysis, and artist outreach for the art buying process
  • Plan and execute team meetings and events, including room bookings, facilities coordination, catering, and meeting notes and follow-ups
  • Track and submit expenses

Key Qualifications
  • Excellent verbal and written communication skills, with great email etiquette; tone and clarity matter, as you'll be representing the team
  • Meticulous attention to detail and strong follow through; you know the little things make a big difference
  • Ability to multitask and juggle competing priorities with an organized, self-managing approach
  • Proficient in Apple productivity tools (Calendar, Keynote, Quip) and collaboration tools like Slack
  • Familiarity with digital asset management and file organization/storage platforms like Box
  • Passion for digital media and visual creative processes (design, photography, video/motion, etc.)
  • Resourceful, proactive, and adaptable to change

Education & Experience
  • Bachelor's degree or equivalent experience preferred
  • ~5 years of demonstrated work experience at a design, ad, or digital agency, or at a technology company
  • Previous experience as a coordinator, assistant, or in an administrative role is a plus
