Job description

TITLE

Project Manager, Marketing & Communications

JOB SUMMARY 

The Project Manager position coordinates people and processes to ensure that projects are flawlessly executed. Ensures that all Marketing and Communication projects are delivered on-time, within scope and budget. The go-to person for everything involving a project's organization, timeline and workflow. Develops detailed project plans, ensuring resource availability and allocation for thousands of projects across all three campuses. Pivots project management strategies based on data and changing needs. Facilitates meetings with clients and content creators to guide project initiation, planning, execution, reporting, evaluation, and delivery of outcomes. Conducts research for content and strategies to effectively accomplish project goals.  Manages, researches and owns the project management system acting as administrator and teaching the platform to staff. Meeting with project team members to identify and resolve issues. Submitting project deliverables and ensuring that they adhere to quality standards. Preparing status reports by gathering, analyzing, and summarizing relevant information. Establishing effective project communication plans and ensuring their execution. Facilitating change requests to ensure that all parties are informed of the impacts on schedule and budget. Coordinating the development of user manuals, training materials, and other documents as needed to enable successful implementation and turnover of the process or system to the clients. Identifying and developing new opportunities with clients. Obtaining customer acceptance of project deliverables. Managing customer satisfaction within the project transition period. Conducting post-project evaluation and identifying successful and unsuccessful project elements. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures. 

 ORGANIZATIONAL RELATIONSHIPS

Reports to:      Director, Creative Services     

Supervises:     No supervisory responsibilities           

ESSENTIAL DUTIES - May include, but not limited to the following:

  • Acts as an integral part of the creative team that develops university-wide strategic marketing solutions to support recruitment marketing and brand visibility goals.

  • Works closely with all department directors, graphic design team, and photographers/videographers to manage the workflow and production process of recruitment and brand publications, strategic university publications, advertising campaigns, photography, audio-visual, and web/social media products. 

  • Works closely with departmental leads to ensure projects meet deadlines and expectations.

  • Analyzes and allocates resources and talent needed to complete projects and campaigns. 

  • Manages the timeline of campaigns and creative projects to ensure completion by deadline.

  • Works with a broad range of clients and identifies and conveys the specific needs and campaign details to the creative, marketing team.

  • Efficiently manages multiple, diverse projects simultaneously. Identifies and avoids resource collisions while managing multiple projects simultaneously.

  • Manages production schedules and timelines for creative elements of branding and recruitment campaigns.

  • Analyzes project progress and adjusts workflow and assignments accordingly. Advises clients on best practices and materials needed to complete their goals. 

  • Strategically edits and proofs copy/designs for print, outdoor, radio, and digital advertising or marketing campaigns.

  • Serves as lead website content manager and designer for executive level projects.

  • Identifies issues and provides options and solutions for identified risks and issues.

  • Fosters cross-departmental collaboration and communication between team members and impacted departments. Communicates regularly with internal staff, management, volunteers, and consultants for assigned projects to advance and execute the plan. Facilitates meetings.

  • Manages strategic campaign calendar of annual campaigns.

  • Conducts research projects with department leads. Research market best practices, competitor research, and research as requested.

  • Conducts brainstorming and idea creation for all campaigns and marketing materials to creatively solve problems and recruit students.

  • Serves as effective brand champion with strong brand awareness.

ADDITIONAL DUTIES

  • Provides design support.

  • Provides web design and content as needed.

  • Performs other duties as requested.

EDUCATION 

Bachelor's degree required.

EXPERIENCE

Minimum three years' experience in a marketing and communication role, managing projects/campaigns required.  Experience with business, management, budgeting and analysis preferred.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential:

  • Ability to professionally give and receive feedback from both clients and team members. 

  • Ability to adapt to new technology or communication avenues.

  • Ability to communicate effectively by phone, in person, and in writing.

  • Ability to work effectively both independently and as a member of a creative team.

  • Ability to organize work effectively, conceptualize and prioritize objectives, and exercise independent judgment based on an understanding of organizational policies and activities.

  • Strong communication and expert proofreading skills; knowledgeable of AP style writing.

  • Expert knowledge of Google Suite, Creative Cloud Storage Management, Microsoft Office, Constant Contact (or other email campaign programs), Asana (or other project management programs).

  • Proficient knowledge of Adobe InDesign, Adobe Photoshop, Adobe Illustrator, Adobe Acrobat, Lucid Press.

  • Demonstrated ability to manage planning and implementation of marketing and branding initiatives.

  • Ability to work on marketing or advertising campaigns and manage the process from conceptualization to end product.

  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.

  • Ability to read and translate data to make changes to efficiency and Ability to use a personal computer and other office equipment, including related university software and email.
