What We Need

The Marketing Project Specialist serves as the central coordinator for all creative and design requests entering the organization through our project management software. This role manages intake, prioritization, project setup, timeline coordination, workload visibility, stakeholder communication, and workflow execution. The position acts as the bridge between business partners and creative resources, ensuring requests are properly scoped, prioritized, assigned, and delivered on time.

What You'll Do
  • Manage intake of all creative and design requests submitted ensuring required information, scope, deliverables, and timing needs are captured before work is assigned
  • Partner with requestors and cross-functional stakeholders to clarify project scope, define deliverables, establish realistic timelines, and align expectations before project kickoff
  • Convert approved and fully scoped requests into detailed project plans, timelines, assignments, review steps, and approval workflows within Adobe Workfront
  • Traffic active projects across creative resources, monitor progress against timelines, coordinate review cycles, and help ensure deadlines are met
  • Maintain clear and frequent communication with stakeholders on project status, timing, review needs, priority shifts, risks, and resource constraints
  • Maintain project plans to maintain a system of record for intake, project details, timelines, assignments, review/proofing status, approvals, notes, and reporting
  • Identify and el??
  • Facilitate collaboration by bringing the right people together to make decisions and overcome obstacles
  • Proactively identify next steps and solutions to prevent projects from stalling and keep them moving forward
  • Support creative resources by helping remove workflow roadblocks, clarifying next steps, and ensuring project information is complete and actionable
  • Perform other Creative PMO, traffic management, and workflow coordination duties as needed
  • Support prioritization discussions by providing visibility to project volume, workload, capacity, competing priorities, and timing constraints
  • Drive adherence to established creative processes, templates, workflows, review steps, and approval paths.
What You Have
  • Bachelor’s degree in related field or equivalent education and/or experience preferred
  • 3+ years of experience in project coordination, traffic management, creative operations, marketing operations, or project management within a marketing, agency, creative services, or in-house creative environment
  • PMP certification is a plus but not required; experience managing creative workflows, intake processes, or project management platforms is preferred
  • Adobe Workfront experience strongly preferred
