We are looking to add a Creative Traffic Coordinator to our Creative & Production Resource team. As our Creative Traffic Coordinator, you'll be the operational hub of our growing design team. You'll partner closely with designers, producers, project teams, and creative leadership to ensure the right people are working on the right projects at the right time.

This role is ideal for someone who enjoys bringing order to fast-moving creative environments. You'll maintain visibility into our team's workload, coordinate day-to-day design requests, help balance competing priorities, and ensure both our designers and project teams have the information they need to succeed.

No two days look exactly alike. One moment you may be coordinating a last-minute design request, the next you're updating schedules, planning upcoming kickoffs, or helping identify the perfect freelancer for an upcoming project. If you enjoy solving puzzles, thinking several steps ahead, and helping creative teams do their best work, we'd love to meet you.

You will report directly to the Senior Manager of Creative & Production Resource. Position is hybrid role and does require 3 days in the NYC office.


Salary is $70-80k.


What You’ll Do:

Design Traffic & Scheduling
  • Own the day-to-day coordination of our design team's schedule using Airtable.
  • Maintain accurate project bookings, timelines, deadlines, and resource allocations.
  • Coordinate designer availability across multiple concurrent projects.
  • Ensure project kickoffs, timeline changes, and booking adjustments are reflected across the team.
  • Communicate upcoming priorities, schedule changes, and new requests to designers.
  • Independently coordinate straightforward staffing requests while escalating more complex resourcing decisions when appropriate.
Resource Coordination
  • Serve as a primary point of contact for day-to-day design requests from project teams.
  • Review incoming requests from email, Slack, meetings, and other channels, gathering the information needed to create actionable creative briefs.
  • Prepare staffing recommendations for Creative Leadership and the Senior Manager of Creative & Production Resourcing.
  • Provide project teams with visibility into designer availability, PTO, and existing commitments.
  • Flag scheduling conflicts, capacity concerns, and potential bottlenecks before they impact project delivery.
Freelance & Team Support
  • Coordinate freelance designer outreach, including availability checks and introductory conversations with prospective talent.
  • Assist in maintaining a healthy freelance talent pipeline.
  • Support coordination across our international creative teams to ensure visibility into global resourcing needs.
Reporting & Operational Support
  • Help maintain utilization reporting by reconciling budgets, bookings, and timecards.
  • Prepare weekly design booking and resource updates for the broader organization.
  • Maintain accurate scheduling, reporting, and operational records.
  • Identify opportunities to improve existing workflows and scheduling processes as your knowledge of the team grows.
Creative Operations & Department Support
  • Support the RFP process by organizing reusable presentation materials and creative assets.
  • Help maintain our RFP content library and extract new creative work from completed pitches.
  • Maintain internal scenic and design reference databases.
  • Coordinate stock media licensing and track related expenses.
  • Provide general coordination and operational support for the design department.
What Success Looks Like:

Within your first six months:

  • Designers trust you to help protect their time and keep them informed.
  • Project teams know they can quickly get an accurate picture of design team availability.
  • Schedules stay current, kickoffs happen on time, and changing priorities are communicated clearly.
  • You're confidently handling day-to-day traffic coordination while recognizing when more strategic staffing decisions require escalation.
  • Leadership relies on you to identify scheduling conflicts and resource risks before they become problems.
  • You've begun recommending thoughtful improvements that make our scheduling and coordination processes even more effective.
What We're Looking For:
  • 1-3 years of experience in a coordination, studio, traffic, project, or creative operations role.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities while remaining calm and adaptable in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Confidence working with scheduling, spreadsheets, and operational systems.
  • Comfortable learning new technology platforms, including Airtable.
  • A proactive mindset—you don't wait for problems to surface; you help prevent them.
  • Interest in creative work, experiential marketing, events, or design.
Nice to Have:
  • Experience coordinating work within a creative agency, design studio, or marketing team.
  • Basic familiarity with Adobe Creative Suite (you don't need to be a designer, but understanding creative files and workflows is helpful).
  • Experience with PowerPoint and/or Keynote.
  • Exposure to resource planning, studio management, or creative traffic coordination.
  • Customer service, hospitality, or other client-facing coordination experience.
  • Experience with Airtable or similar project/resource management platforms.
