Job description

Position Overview:

The Wedding amp; Event Coordinator is responsible for assisting in planning, coordinating, and executing luxury weddings and special events at Edgewood Tahoe Resort. This role ensures seamless event preparation, communication and execution while delivering an exceptional guest experience. This position will often act as a liaison between the couple, planners and other vendors or service providers. The ideal candidate will enjoy a role that blends administrative, customer-facing and hands-on work.
Key Responsibilities:
  • Act as the first point of contact for couples and event hosts, providing personalized guidance and support throughout the planning process.
  • Assist the sales team with planning and preparation of weddings and special events, from initial inquiry to post-event follow-up.
  • Work with the sales team to prepare contracts, event orders, payments and permitting while ensuring everything is properly documented.
  • Help communicate and coordinate with florists, photographers, entertainment, and other vendors to ensure seamless event execution.
  • Meet with clients for site visits to discuss their vision, budget, and wedding details.
  • Communicate with vendors to confirm arrangements, schedules, and deliverables.
  • Address unexpected challenges calmly and efficiently.
  • Conduct post-event evaluations, gather client feedback, and ensure billing and payments are completed.

Qualifications and Skills:
  • Ability to work flexible schedules, including nights, weekends, and holidays.

  • Excellent communication, negotiation, and problem-solving skills.
  • Ability to work under pressure and adapt to last-minute changes.
Physical Requirements:
  • Must be able to safely lift, move, and stack items weighing up to 40 lbs.
  • Able to perform physical tasks, including bending, lifting, and standing for extended periods.
  • Comfortable working outdoors in various weather conditions.
