About the Role
Viasox warehouse operatives pick and pack orders for direct-to-consumer (B2C) sales. As Warehouse Team Lead, you will supervise a team of warehouse associates and oversee the day-to-day flow of goods - from inbound receiving and putaway through to pick, pack, and ship - ensuring the highest standards in efficiency, accuracy, and customer satisfaction. Reporting directly to the Warehouse Manager, this role is the operational backbone of our fulfillment center.
Your mission is to keep our team productive and engaged, inventory accurate and audit-ready, and every Viasox order moving seamlessly into our customers' hands - on time, in perfect condition, and at optimal cost.
Key Responsibilities
Team Leadership & Supervision
  • Assign and lead daily tasks for warehouse associates across all shift activities.
  • Monitor associate productivity, attendance, and adherence to standard operating procedures.
  • Coach, train, and onboard new hires through hands-on, on-floor guidance.
  • Share weekly performance updates via Asana and escalate issues to the Warehouse Supervisor as needed.
  • Conduct daily pre-shift huddles to align the team on priorities, workload, and any operational changes.

Fulfillment & Order Operations
  • Oversee all fulfillment activities - picking, packing, and shipping - using ShipHero (WMS), including barcode scanning and order batching.
  • Monitor order queues and wave releases to ensure on-time ship rates and SLA compliance.
  • Resolve pick errors, short ships, and packing discrepancies before orders miss the carrier cut-off.
  • Coordinate with outbound carriers and ensure manifests and labels are accurate.
  • Pick and pack individual orders as needed to support the team during peak volume.
  • Lift, organize, and sort boxes up to 30 lbs; move pallets using a pump truck as required.

Receiving
  • Verify inbound purchase orders against POs and packing slips; inspect freight for damage and discrepancies.
  • Process receipts accurately and promptly in ShipHero WMS.
  • Track inbound shipments through email threads using standardized subject-line naming conventions.
  • Flag and document vendor compliance issues, including short shipments and mislabeled products, via established channels (WhatsApp, Slack).

Putaway & Replenishment
  • Direct associates on putaway locations to maintain accurate bin integrity and an organized warehouse layout using LEAN principles.
  • Trigger replenishment tasks in WMS when pick-face quantities fall below the threshold.
  • Manage inventory transfers and storage levels across warehouse zones using the WMS internal transfer feature.
  • Prioritize replenishment during active pick waves to prevent stockouts on the floor.

Inventory Management
  • Maintain real-time inventory accuracy through ShipHero WMS.
  • Conduct cycle counts on schedule; reconcile variances via audit logs and note updates in weekly reports.
  • Ensure segregation of duties in the receiving and inventory adjustment process - no self-approval of receipts or adjustments in the WMS.

Quality Assurance
  • Conduct visual inspections of inbound goods and flag issues to the supplier and management through established channels.
  • Document quality issues (e.g., incorrect labelling, damaged packaging) in the Supplier Performance Log.
  • Coordinate with the customer service team to maintain a feedback loop and ensure orders, refunds, and returns are handled correctly.

Safety & Compliance
  • Enforce all warehouse safety standards, including protocols for the operation of machinery and equipment.
  • Conduct daily pre-shift safety walkthrough checks of the warehouse floor and equipment.
  • Ensure team compliance with standards and Viasox safety policies.

What We're Looking For
Must-Haves
  • Valid forklift and/or reach truck license.
  • Experience: 1-2 years in warehousing or fulfillment operations, with at least 1 year in a supervisory or lead role (eCommerce experience strongly preferred).
  • Technical Expertise: Hands-on proficiency with a Warehouse Management System (WMS); ShipHero experience is a plus.
  • Systems & Software: Comfortable with Asana, Slack, and Google Sheets for day-to-day task management and reporting.
  • Leadership: Proven ability to direct, motivate, and develop a team on a busy fulfillment floor.
  • Attention to Detail: Strong focus on inventory accuracy, documentation, and compliance with internal controls.
  • Physical Requirements: Ability to lift up to 30 lbs and stand for extended periods; pump truck operation experience required.
