The Receptionist is the first point of contact for the corporate office, setting the tone for every visitor, resident, vendor, and employee who walks through the door or calls in. This position is responsible for managing the front desk, directing calls and inquiries, and providing administrative support that keeps the office running smoothly. The Receptionist partners closely with the office and reports to the Executive Assistant to deliver a professional, welcoming experience while maintaining confidentiality and supporting day-to-day operations.

Requirements:

Key Responsibilities

  • Greet and direct visitors, residents, and vendors in a professional, friendly manner.
  • Answer, screen, and route incoming calls and emails to the appropriate department or individual.
  • Maintain a clean, organized, and welcoming reception and lobby area.
  • Manage sign-in procedures and badge/visitor access in accordance with office policy.
  • Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipments.
  • Schedule and coordinate conference rooms and meeting logistics.

Administrative Support

  • Order and maintain office and kitchen supplies inventory.
  • Support data entry, filing, and correspondence for HR and administrative teams as needed.
  • Assist with company events, employee engagement activities, and office projects.
  • Maintain confidentiality of sensitive information 
  • encountered at the front desk.

Operational Support

  • Coordinate with building management and vendors on facilities-related needs.
  • Perform other administrative duties as assigned to support office operations.

Required Qualifications

  • 1+ years of experience in a receptionist, front desk, or customer service role.
  • High school diploma or equivalent.
  • Customer service experience
  • Proficient in Microsoft Office 365 and standard office equipment.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask in a fast-paced environment.
  • Professional appearance and demeanor.
  • Prior experience in property management, real estate, or a multi-site organization preferred.
