Office Manager

We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the daily administrative operations of our growing residential HVAC and plumbing company. This leadership role is responsible for ensuring efficient office workflows, supporting field operations, improving customer experience, and helping drive company performance through strong communication, accountability, and operational excellence.

The ideal candidate thrives in a fast-paced service environment, has strong people and process management skills, and has experience handling accounting and customer service responsibilities.


Key Responsibilities

  • Manage day-to-day office operations to ensure efficiency, professionalism, and organization
  • Develop and maintain office procedures, workflows, and administrative systems
  • Oversee office supplies, vendor relationships, equipment, and facility needs
  • Support ownership and leadership with reporting, scheduling, and operational coordination
  • Foster a positive, accountable, and team-oriented work environment
  • Ensure exceptional customer experience across phone, email, and in-person interactions

  • Experience with dispatching, scheduling, and customer service operations
  • Proficiency with Microsoft Office, Google Workspace, and service management software (ServiceTitan experience preferred)

  • Ability to analyze operational reports and support performance improvement initiatives
  • Experience managing administrative or customer service teams
  • Knowledge of residential service operations and technician workflows
  • Familiarity with payroll, AR/AP, and basic financial reporting
  • Bilingual (English/Spanish) is a plus
