Job description

The Spice Room Attendant (SRA) is responsible for the accurate, efficient, and traceable handling of all raw ingredients and packaging materials used in mayonnaise production. This role oversees the Controlled Ingredient Storage Area (CISA) and ensures that all ingredients are properly kitted, labeled, verified, and reconciled by batch in accordance with food safety, quality, and inventory standards.
The SRA plays a key role in maintaining real-time accuracy between the ERP system and actual floor inventory, supporting compliance with FDA/USDA traceability requirements, and ensuring materials are available to meet production schedules.
Key Responsibilities
Ingredient & Batch Control
• Manage day-to-day operations within the Controlled Ingredient Storage Area (CISA).
• Pre-kit ingredients for each production batch based on ERP batch orders and standard formulations.
• Document actual ingredient usage per batch, including lot numbers, weights, and variances from standards.
• Ensure each pre-kit is properly labeled with product name, batch number, ingredient lot number, and quantity.
• Maintain accurate traceability records linking each ingredient lot to its corresponding finished batch.
• Coordinate with QA and Production to verify ingredient accuracy before release to production.
• Return unused or partial materials to inventory following established reconciliation and labeling procedures.
Inventory Accuracy & Reconciliation
• Perform daily and weekly inventory reconciliations between ERP and physical stock.
• Investigate and resolve material variances promptly to maintain inventory integrity.
• Conduct and document cycle counts of key ingredients and packaging materials as scheduled or required.
• Participate in end-of-period and end-of-year full physical inventories, including planning, execution, and reconciliation activities.
• Prepare and submit inventory accuracy reports to the Plant Manager and Finance team.
• Ensure ERP transactions (issues, returns, adjustments) are completed accurately and in a timely manner.
Label Control & Verification
• Implement and enforce label verification and control procedures to prevent mislabeling or cross-contamination.
• Verify that all ingredient, packaging, and finished product labels correspond to approved specifications and lot codes.
• Maintain and control label inventory to prevent unauthorized use or duplication.
• Support Quality and Production teams in root-cause investigations for any labeling discrepancies.
Documentation & Compliance
• Maintain all controlled documentation for traceability, including Batch Ingredient Usage Sheets and reconciliation logs.
• Ensure compliance with all GMP, FDA, and company food safety requirements.
• Support internal and external audits by providing accurate traceability and inventory records.
• Participate in continuous improvement initiatives related to material flow, inventory control, and data accuracy.
Communication & Coordination
• Serve as the key point of contact between the Warehouse, Production, and Quality departments for material control and traceability.
• Communicate material shortages, holds, or quality issues promptly to Production and QA leadership.
• Update the Controlled Ingredient Kitting Whiteboard (or digital dashboard) to reflect real-time batch status and inventory activity.
• Train and support Material Handlers and Production Operators on ingredient handling and documentation procedures.

Qualifications
• High School Diploma or GED required; Associate’s or Bachelor’s degree in Supply Chain, Manufacturing, or related field preferred.
• Minimum 2 years of experience in food manufacturing, inventory control, or warehouse coordination.
• Experience with ERP systems (AX, D365, SAP, Oracle, etc.) strongly preferred.
• Strong organizational, communication, and documentation skills.
• Ability to read and interpret batch sheets, formulas, and lot tracking documents.
• Proficient in Microsoft Excel and Word; ability to maintain digital and paper records accurately.
• Must understand and follow GMP, HACCP, and allergen control requirements.
• Ability to lift up to 50 lbs and work in refrigerated or ambient warehouse environments.
