Executive Assistant (Hybrid) โ€“ Immigration & International Human Rights Law Firm
Location: Washington, DC (Hybrid: 3 days in-office)

Hourly range: $27.00 โ€“ $34.00 (based on experience)
Schedule: Full-time, Non-Exempt
Reports to: Operations Manager

The Role
We are seeking a dynamic, highly organized, and forward-thinking Executive Assistant to support our legal team, including our Managing Partner, from an operations perspective. This is not a traditional assistant roleโ€”you will be a key partner in optimizing how our lawyers work, improving internal systems, and helping the firm leverage technology (including firm-approved technology tools, such as AI, in alignment with internal guidelines) to better serve our clients.

Key Responsibilities

  • Proactively manage complex scheduling and calendar coordination for attorneys, including across time zones and high-priority matters
  • Support client intake coordination and collaborate with the Client Experience Coordinator to ensure a professional and efficient client experience
  • Support case management from an operational standpoint, including tracking deadlines, workflows, and internal coordination
  • Identify inefficiencies in administrative and operational processes and propose innovative, tech-driven solutions
  • Support, and where appropriate, lead the implementation and optimization of firm-approved tools (including AI, where applicable), and provide feedback on opportunities to enhance productivity and legal workflows
  • Draft, edit, and proofread professional communications and internal documents
  • Serve as a liaison between attorneys, clients, and internal staff to ensure seamless operations

Qualifications

  • Minimum 3 years of experience in an executive assistant, legal assistant, or similar operations-focused role (law firm experience strongly preferred)
  • Spanish/English fluency strongly preferred.
  • Exceptional organizational and time-management skills, with the ability to prioritize in a fast-paced environment
  • Strong writing and communication skills
  • Demonstrated ability to take initiative and work independently as a self-starter
  • Interest in or experience leveraging technology to improve workflows and efficiency; exposure to AI tools is a plus.
  • High level of professionalism, discretion, and attention to detail
  • A problem-solver mindset with a passion for innovation
