Job description

Fixed Asset Accountant
Location: Houston, TX
Employment Type: Full-Time
Position Summary
Hays Electrical Services is seeking a detail-oriented, analytical, and process-driven Fixed Asset Accountant to oversee the accounting, reporting, and control of the company's fixed asset portfolio across multiple states and active construction projects.
This role is responsible for maintaining accurate fixed asset records, capitalizing construction-related assets, tracking equipment purchases and disposals, managing depreciation schedules, supporting month-end close activities, and ensuring compliance with GAAP and company accounting policies. The Fixed Asset Accountant will partner closely with Operations, Project Management, Procurement, Fleet, IT, and Finance to ensure assets are properly recorded, safeguarded, and reported. The ideal candidate possesses strong technical accounting knowledge, excellent organizational skills, and experience supporting large-scale construction or project-based organizations.
Key Responsibilities
• Maintain the company's fixed asset subledger and ensure accuracy of all capital asset records. 
• Record additions, transfers, disposals, retirements, impairments, and asset adjustments. 
• Review invoices and project expenditures to determine capitalization eligibility. 
• Capitalize completed projects and place assets into service according to company policy. 
• Calculate and record monthly depreciation and amortization. 
• Reconcile the fixed asset subledger to the general ledger each month. 
• Prepare journal entries related to capitalization, depreciation, disposals, and adjustments. 
• Monitor Construction-in-Progress (CIP) balances and coordinate timely capitalization. 
• Maintain detailed supporting documentation for all capital asset transactions. 
• Assist with physical inventory counts and asset verification procedures. 
• Develop and maintain company-wide asset tagging and tracking processes. 
• Partner with Project Managers, Procurement, Fleet, Warehouse, IT, and Operations to ensure 
complete asset visibility. 
• Review leased versus owned equipment classifications. 
• Track vehicle, equipment, machinery, tools, technology hardware, office equipment, and building 
improvements. 
• Support budgeting and forecasting related to capital expenditures (CapEx). 
• Assist with annual audits by preparing schedules, reconciliations, and supporting documentation. 
• Ensure compliance with GAAP, internal controls, and company capitalization policies. 
• Recommend process improvements to strengthen asset controls and reporting efficiency. 
• Support ERP implementations, system enhancements, and fixed asset module improvements. 
• Participate in month-end and year-end close activities. 
Required Qualifications
• Bachelor's degree in Accounting or Finance. 
• 3–7+ years of accounting experience. 
• Minimum 2 years managing fixed assets or capital accounting. 
• Strong understanding of: GAAP, Fixed asset accounting, Capitalization rules, Depreciation methodologies, Construction accounting principles 
• Advanced Microsoft Excel skills. 
• Experience with ERP/accounting systems such as: Vista by Viewpoint, Sage, Oracle, NetSuite, Microsoft Dynamics 
• Strong reconciliation and analytical skills. 
• Excellent organizational and time-management abilities. 
• Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
• Construction, electrical contracting, engineering, manufacturing, or industrial industry 
experience. 
• Experience with Construction-in-Progress (CIP) accounting. 
• Knowledge of job costing and project accounting. 
• Experience supporting companies operating across multiple states. 
• Experience with fixed asset management software or ERP asset modules. 
• Familiarity with lease accounting (ASC 842)
